This is a full-time, on-site role for an Executive & Personal Assistant based in Hong Kong SAR. The position provides comprehensive, administrative support directly to senior leadership, seamlessly bridging corporate responsibilities with private family management. The ideal candidate will handle demanding executive logistics, oversee family affairs, coordinate global travel itineraries, and maintain utmost discretion and efficiency across all operations.
Executive Support & Diary Management: Act as the primary gatekeeper, managing complex corporate calendars, coordinating internal and external meetings across multiple time zones, and prioritizing incoming communications.
Family Affairs & Household Coordination: Oversee personal and family matters, including household logistics, domestic staff coordination, vendor management, property maintenance, and private club or social commitments.
Global Travel Planning: Plan and execute seamless, end-to-end domestic and international travel itineraries for business trips and personal family vacations (flights, visas, accommodations, ground transport, and dining/leisure bookings).
Lifestyle & Concierge Logistics: Handle high-priority personal errands, private appointments, vehicle logistics, event ticketing, and personal gift procurement with meticulous care.
Office & Clerical Administration: Draft professional correspondence, manage expense reporting, handle invoice processing, and maintain confidential filing systems for both business and personal documentation.
Ad Hoc Projects: Execute special personal and corporate projects as required, demonstrating agility.
Education: Bachelor’s degree or equivalent tertiary qualification.
Availability & Flexibility: High flexibility and availability to respond to urgent matters, travel disruptions, or ad-hoc requests outside standard office hours, including evenings and weekends as needed.
Communication & Languages: Exceptional verbal and written communication skills; fluency in English and Cantonese is essential, with Mandarin proficiency highly advantageous.
Travel & Concierge Acumen: Strong experience organizing multi-leg international itineraries and managing travel protocols with tight turnaround times.
