Job summary

NHS Professionals is seeking a Receptionist / Ward Clerk for Witney Community Hospital, Oxford Health NHS Foundation Trust. Temporary 4-6 months, 29 hours/week (Mon Tue 8am–8pm, Sat 1pm–8pm; Saturdays at enhanced rate).

You will provide clerical and administrative support to the ward team, manage referrals, diaries, calls, emails, and patient records using DOCMAN, ensuring confidentiality and efficient service delivery.

Qualifications

  • Ability to plan and organise work to meet deadlines.
  • Strong computer skills and proficient typing.
  • Excellent communication and organisational abilities.
  • Experience with confidential data and NHS systems is a plus.

Responsibilities

  • Forward referrals prepared by clinicians to internal and external teams with confidentiality.
  • Maintain ward diary and take minutes for meetings.
  • Answer telephone, take messages and handle enquiries.
  • Check emails daily and print as necessary.
  • Assist with ordering supplies via e-procurement.
  • Scan/upload to electronic health records (DOCMAN) and manage patient notes.

Job description

Job Title: Receptionist / Ward Clerk

Location: Witney Community Hospital, OX26 6JJ

Hours: 29 hours per week – Monday & Tuesday 8am – 8pm & Saturdays 1.00pm – 8.00pm (Saturdays are paid at an enhanced rate)

Trust: Oxford Health NHS Foundation Trust

Role type: Temporary for 4 - 6 months with possibility of becoming permanent

Role Details

To provide a supportive, flexible, comprehensive clerical and administrative service to the ward team to support their delivery of patient care.

Duties required
  • Forwarding referrals prepared by clinicians to internal and external teams taking into consideration confidentiality and sensitive data management. Liaising with external providers/health care teams to ensure correct processes are in place in line.
  • Maintaining ward diary.
  • Answering the telephone, taking messages and helping with enquiries.
  • Checking emails daily and printing off as necessary.
  • Assisting housekeeping and nursing staff with ordering supplies via e-procurement as required.
  • General scanning/uploading to electronic health records including patient blood results, correspondence, discharge summaries, leave forms, prescription charts etc. Using DOCMAN where appropriate.
  • Taking minutes, typing and distribution for staff/patient meetings as required.
  • Provide flexible cover for other members of the administration team when required.
  • Responsible for office and clinical equipment’s maintenance; report to IT department or clinical device maintenance company for any maintenance, fault and repairs as required.
  • Support the process of daily check on staffing level and update staffing level board, inform manager and notify Bank / agency staff sourcing team when bank/agency staff are required to cover shifts.
  • Updating patient status at ‘A Glance’ board (PSAG Board).
  • Requesting and sending patients’ notes and discharge summaries as required.
  • Keeping notice boards tidy and up to date and adding anything of interest or importance to staff.
  • Creating posters to promote ward initiatives and updates

This role may require you to show evidence of vocational level 3 qualification or at least 2 years relevant experience.

  2. Knowledge of the systems used, to effectively complete your role to the highest standard at all times
  3. A sense of teamwork, gained through working alongside and supporting colleagues from all levels, within the organisation
