Job summary

NHS Professionals is seeking a part-time Safe Staffing Projects and Systems Administrator at John Radcliffe Hospital, Oxford. You will support the project team, coordinate education programmes and maintain the NMC revalidation and Safe Staffing tools.

The role requires strong IT skills, including MS Office and IPAMS, excellent time management and the ability to work across the Trust with minimum supervision. A vocational level 3 qualification or two years’ relevant experience is preferred.

Qualifications

  • IT qualifications and proficient use of Microsoft Office applications are required.
  • Experience with NHS systems or revalidation tools is desirable.
  • Excellent organizational and interpersonal skills essential.

Responsibilities

  • Support the Safe Staffing and NMC Revalidation project team.
  • Coordinate education programmes for appraisal and revalidation tools.
  • Produce dashboards using IPAMS and Microsoft Office to Review at Trust Board level.
  • Plan and manage own time across multiple priorities from management.
  • Attend meetings, prepare agendas, take minutes and arrange appointments.

Job Title: Safe Staffing Projects and Systems Administrator

Location: John Radcliffe Hospital, Headley Way, Headington, Oxford, OX3 9DU

Hours: 15 hours per week - any 2 days across Monday - Friday 8.30AM - 4.30pm

Trust Location: Oxford University Hospitals NHS Foundation Trust

Role type: Temporary for 12 months with possibility of extension

Reference: 89907

Role details:
  • To work as an integral part of the Safe Staffing and NMC Revalidation Team, supporting the project team and promoting a positive image for the Oxford University Hospitals NHS Trust.
  • Co-ordinate education programmes pertaining to appraisal and the new NMC Revalidation electronic tool and the Safe Staffing and Patient acuity monitoring tool
  • Undertake a wide range of administrative tasks and develop an expert knowledge and understanding of the systems and processes involved within the NMC revalidation and Safe Staffing project team.
  • Possess an in depth knowledge of IT including the Microsoft Office suite and IPAMS to enable production of dashboards for NMC revalidation and Safe Staffing for review at Trust Board level
  • Plan and manage own time using organisational and prioritising skills in the context of multiple demands from members of the management team.
  • Process messages and deal with enquiries via the telephone, face to face and electronically as appropriate and take the necessary action.
  • Co-ordinate and manage the administration function of meetings. Ensure that meeting agendas, papers, venues, refreshments and attendees are prepared sufficiently far in advance. Attend meetings to take formal/informal minutes when required.
  • Arrange ad-hoc meetings and appointments as required and ensure all associated arrangements are in place.
  • Attend mandatory training updates annually as per Trust policy.
  • Adaptable and flexible to handle multiple tasks and priorities.
  • Ability to deal with stressful situations such as tight deadlines in an environment of frequent interruptions.
  • Using own initiative; ensure that documents and other typed materials are well presented

This role may require you to show evidence of vocational level 3 qualification or at least 2 years relevant experience.

You’ll learn the following whilst working at the trust:
  1. An in depth understanding of the roles and responsibilities involved in working within the NHS
  2. Knowledge of the systems used, to effectively complete your role to the highest standard at all times
  3. A sense of teamwork, gained through working alongside and supporting colleagues from all levels, within the organisation
You’ll have the following skills/experience:
  • Ability to plan and organise work to meet deadlines.
  • IT Qualifications/Microsoft Office (Excel, PowerPoint, Outlook, Co-pilot)NHS experience (desirable)
  • Ability to arrange meetings, collate papers, attend meetings and take minutes.
  • Reliable and organised Paying attention to detail, with excellent interpersonal skills
