Job summary

NHS Professionals is seeking a Receptionist / Ward Clerk to provide comprehensive administrative support across multiple Community Hospital wards and outpatient departments in Oxfordshire. The role involves EMIS/EPIC system use, rostering, room bookings, and handling communications while ensuring a high standard of patient administration and confidentiality.

You will join a team that values accuracy, teamwork and flexibility across 6 hospital sites with a 37.5 hour work week, Monday to Friday,

Responsibilities

  • Provide multi-site administrative support across Community Hospital wards and outpatient departments.
  • Be competent in EMIS and support staff with updates.
  • Assist with rostering, room bookings, and e-procurement tasks.
  • Type and distribute correspondence, minutes and other documents.
  • Answer emails and phone enquiries and maintain filing systems.
  • Cover ward clerk duties when required and support the team.

Receptionist / Ward Clerk

Location: Across multiple locations

Hours: 37.5 per week - Monday - Friday Hours will vary between 8am - 6pm, but only be up to 7.5 hours a day

Trust Location: Oxford Health NHS Foundation Trust

Contract Type: Temporary 6 months

DUTIES AND RESPONSIBILITIES

To provide multi-site comprehensive administrative support across all of the Community Hospital wards and outpatient departments, to enable delivery of a first-class patient journey. There are 6 Community Hospital sites covering Oxfordshire and flexibility on location of workplace will be required daily

To provide the tasks and responsibilities listed below across 8 Community Hospitals wards, working where required on a daily basis. Cover will include administration, ward clerk and reception duties as required by the site.

To assist the team in all administration duties relating to the day to day running of the reception and outpatients’ service.

Provide a high standard of administration support to the Ward Management team.

Prioritise your own workload and act independently within appropriate guidelines.

To be competent on EMIS (patients electronic health record system), to become a champion and RA agent for the system to support all staff with training updates.

Support with all areas of the electronic rostering system Health Roster. This includes; printing out the weekly staff roster, making shift changes on the system, escalating vacant shifts in accordance with the trust policy to staffing solutions and updating the system accordingly.

Weekly fire alarm testing for the building and monthly emergency lights checking.

Updating the ward equipment spreadsheet with all new items.

E-procurement – electronic ordering of stock supplies.

To cover the ward clerk role on the ward when required.

Support with room booking requests for teams and individuals.

To accurately type and distribute correspondence, minutes and other documents.

To perform general office duties including: responding to email and phone enquiries. Answering the telephone, taking and recording messages accurately, responding to queries appropriately, following Trust procedures and protocols organise the maintenance of the filing systems.

To take accurate action notes and minutes as required arranging meetings and maintaining diaries.

To assist other team members in their work as required.

To undertake other duties as required by the Operational Support Managers.

  • Knowledge of the systems used, to effectively complete your role to the highest standard at all times.
  • A sense of teamwork, gained through working alongside and supporting colleagues from all levels, within the organisation.

  • Previous Receptionist/Ward Clerk experience

This role may require you to show evidence of vocational level 3 qualification or at least 2 years relevant experience.
