Job summary

NHS Professionals is seeking a Receptionist / Ward Clerk to provide multi-site administrative support across Oxfordshire community hospitals, with duties spanning wards and outpatient departments. The role requires flexibility to work at several sites on a 37.5-hour week.

You'll handle reception, admin tasks, minutes, and rostering support using EMIS and Health Rostering, with on-site responsibilities and a 6-month temporary contract that could become permanent.

Qualifications

  • Provides multi-site admin support across community hospital wards and outpatient departments.
  • Experience with NHS administrative processes is preferred.
  • Good communication and data entry accuracy essential.

Responsibilities

  • Provide admin, ward clerk and reception duties across 8 wards.
  • Assist day-to-day administrative tasks for reception/outpatients.
  • Maintain high-standard admin support to Ward Management.
  • Type and distribute correspondence, minutes and documents.
  • Take notes, arrange meetings and manage diaries.
  • Support with rostering and scheduling as required.

Job description

Job Title: Receptionist / Ward Clerk

Location: Candidate required across multiple locations - Witney Community Hospital, Chipping Norton Memorial Hospital, Bicester Community Hospital, Murray House (Jordan hill), The Fiennes Centre (Banbury)


Hours: 37.5 hours per week – Monday – Friday on shift rota 8am - 4pm / 9am - 5pm / 10am - 6pm


Trust: Oxford Health NHS Foundation Trust


Role type: Temporary for 6 months with possibility of becoming permanent


Role Details

To provide multi-site comprehensive administrative support across all of the Community Hospital wards and outpatient departments, to enable delivery of a first-class patient journey. There are 6 Community Hospital sites covering Oxfordshire and flexibility on location of workplace will be required daily


Duties required


  • To provide the tasks and responsibilities listed below across 8 Community Hospitals wards, working where required on a daily basis. Cover will include administration, ward clerk and reception duties as required by the site.

  • Assist the team in all administration duties relating to the day to day running of the reception and outpatients’ service.

  • Provide a high standard of administration support to the Ward Management team.

  • Prioritise your own workload and act independently within appropriate guidelines.

  • To be competent on EMIS (patients electronic health record system), to become a champion and RA agent for the system to support all staff with training updates.

  • Support with all areas of the electronic rostering system Health Roster. This includes; printing out the weekly staff roster, making shift changes on the system, escalating vacant shifts in accordance with the trust policy to staffing solutions and updating the system accordingly.

  • Updating the ward equipment spreadsheet with all new items.

  • E-procurement – electronic ordering of stock supplies

  • Support with room booking requests for teams and individuals.

  • Accurately type and distribute correspondence, minutes and other documents.

  • Perform general office duties including: responding to email and phone enquiries. Answering the telephone, taking and recording messages accurately, responding to queries appropriately, following Trust procedures and protocols organise the maintenance of the filing systems.

  • Take accurate action notes and minutes as required arranging meetings and maintaining diaries.

  • Assist other team members in their work as required.


This role may require you to show evidence of vocational level 3 qualification or at least 2 years relevant experience.
