Job summary

A leading engineering firm is seeking a proactive Construction Site Administrator in Wales to support an HV cable installation project. The role involves maintaining project documentation, coordinating administrative tasks, and ensuring compliance with control procedures. Ideal candidates will possess strong organisational and communication skills, and an SVQ/NVQ Level 2 or 3 in Business Administration is desirable. This is a 12-month fixed term contract with potential for extension or permanence, requiring onsite presence Monday to Friday.

Job description

Our client is seeking a highly organised and proactive Construction Site Administrator to support the efficient delivery of a major HV cable installation project in Caithness. The successful candidate will play a key role in maintaining accurate project documentation, coordinating site administration tasks, and ensuring compliance with company and client document control procedures.

Working closely with the project management and site teams, you will manage document registers, control the flow of information between site and head office, and provide general administrative support to maintain smooth daily operations on site. Although the role will be initially recruited on a fixed term basis, it may have potential to be made permanent based on workload.

Working conditions – Monday to Friday, 42.5 hrs per week. The client can offer a degree of flexibility with start and finish times; however, due to the nature of this role an onsite presence will be required 5 days per week.

12‑month fixed term contract with possibility to be extended or become permanent dependent on workload.

Key Responsibilities
  • Establish and maintain document control systems in line with company and client requirements.
  • Ensure accurate and timely filing, tracking, and distribution of project documentation including drawings, permits, method statements, inspection reports, and correspondence.
  • Preparation and filing of mobile work packs for multiple site teams.
  • Support site management with preparation of site records, daily diaries, timesheets, and delivery documentation.
  • Maintain registers for incoming and outgoing documents, RFIs, NCRs, and other controlled forms.
  • Assist with compilation of HSEQ documentation, toolbox talks, and audit preparation.
  • Coordinate site meetings – issue agendas, minutes, and follow‑up actions.
  • Manage administrative duties including visitor logging, inductions, stationery and PPE orders, and maintaining site noticeboards.
  • Provide general support to project teams to ensure document accuracy, version control, and efficient retrieval of information.
What we’re looking for
  • SVQ / NVQ Level 2 or 3 in Business Administration, Construction Administration, or Project Support (or equivalent on‑the‑job experience) is desirable.
  • Competent in Microsoft Office (Word, Excel, Outlook) and general IT systems.
  • Strong organisational and time management skills with excellent attention to detail.
  • Familiarity with electronic document management systems would be advantageous.
  • The ability to work independently in a busy site‑based environment and communicate effectively with multiple stakeholders.
  • A methodical approach to filing, record keeping, and data accuracy.
  • A full UK driver’s licence (due to site location).
  • Experience in a construction or civil engineering environment, ideally within utilities or HV cable installation projects would be advantageous however not essential as full training and support will be provided.
