Job summary

A healthcare service provider is seeking a Senior Service Administrator to provide comprehensive administrative support within a fast-paced environment. The role involves managing queries, arranging meetings, and maintaining records to support operational staff effectively. Candidates should possess NVQ 3 qualifications, strong communication and organisational skills, and experience in an administrative capacity. This is a full-time position with a pay range of £24,937 to £26,598, on a fixed-term contract until April 2027.

Job Summary

37.5 hours per week on a fixed term basis until April 2027. An exciting opportunity has been developed within Livewell Southwest. We are looking to recruit an enthusiastic Senior Service Administrator. Our preferred candidate will enjoy working in a fast paced progressive environment.

Livewell Southwest is an independent, award-winning social enterprise delivering integrated health and social care services across Plymouth, South Hams, and West Devon, with specialist services in parts of Devon and Cornwall.

Key Responsibilities
  • Provide daily secretarial and administrative support across the CAMHS service, including minute taking, data input, and reception duties.
  • Arrange meetings and events, ensuring all equipment and documentation is available.
  • Respond to telephone, email, and written queries on behalf of the service area.
  • Produce informal and formal minutes as an accurate record of meetings.
  • Maintain accurate and timely electronic and hard copy information, such as training logs.
  • Support operational staff to access management information.
  • Collect and collate data to enable managers to monitor budgets and performance.
  • Provide support to customer and visitor reception areas, acting as the first point of enquiry and sign‑posting individuals to relevant information/service.
  • Support the line manager to ensure internal and external communication systems are in place.
  • Ensure all complaints, compliments, concerns, comments and suggestions are appropriately recorded and resolved within the role or escalated where necessary.
  • Be compliant with Data Protection and record‑management policies and procedures, with particular reference to confidentiality and safeguarding issues.
  • Promote the image of the department, ensuring notices and leaflets are up to date and well presented.
  • Process and pass for payment all relevant invoices in a timely manner, with support of the line manager.
Qualifications
  • NVQ 3 in a relevant subject or equivalent level of qualification, or substantial equivalent previous experience.
  • RSA II typing or equivalent qualification.
  • Substantial experience of working in an administrative environment using computerised data systems.
  • Experience of supervising other staff members.
  • Working knowledge of Microsoft Office (Word, Excel) and understanding of confidentiality & data protection act.
Desirable
  • NVQ 3 in Business Administration or equivalent.
  • Knowledge of SystmOne.
  • Understanding of Data Protection legislation.
  • Understanding of healthcare services and national requirements in inpatient and outpatient booking systems.
Person Specification
  • Good communication skills – writing, typing, data entry and telephone skills ensuring accuracy.
  • Ability to communicate verbally and in writing to a good level (face to face and over the telephone).
  • Ability to prioritise own workload.
  • Ability to work effectively as part of a team.
  • Organised, efficient and accurate.
  • Flexible and adaptable, willing to learn new skills.
  • Able to analyse problems and initiate appropriate solutions effectively.
