A public service organization in Newcastle upon Tyne is seeking an administrative professional to provide essential support within the Probation Service. Responsibilities include reception duties, managing logistics, and offering administrative support to various teams. The successful candidate will need strong ICT skills and effective communication abilities. This role offers a hybrid working arrangement, with the expectation to cover occasional late hours.
This is an administrative role based within the Probation Service (PS) Directorate in HMPPS. The job holder reports to the designated Line Manager and supports the provision of business specific and transactional office-based activities. The job holder works collaboratively with other team members to provide reception duties and a range of administrative support services. The job holder may be expected to support a number of teams/functions within the operational area and is to offer support and cover during periods of absence, for which training will be provided. The post holder must adhere to all policies in respect of the sensitive/confidential nature of the information handled whilst working in this position. NB: Core Hours include regular unsocial hours (evenings and/or weekends) as determined by the business need.
Hours of Work (Unsocial Hours) Allowances Additional payments are made for working unsocial hours. New entrants to the Civil Service will be expected to join at the entry point salary for the advertised band. Existing Civil Servants will have their salary calculated in accordance with the Department’s pay on transfer / pay on promotion rules. This is an office based role, working Monday-Friday and there will be a requirement to cover late night reporting and to cover at other offices in the area as the need arises. There is an expectation to cover other office locations within the Newcastle‑Upon‑Tyne PDU areas. It is a requirement of the Receptionist role that late night reporting is covered – this involves working outside of usual office hours, no later than 7 pm, once per week in order to support Probation Practitioners to facilitate appointments for those who cannot attend during usual working hours.
The MoJ offers Hybrid Working arrangements where business need allows. This is an informal, non‑contractual form of flexible working that blends working from your base location, different MoJ sites and / or from home (please be aware that this role can only be worked in the UK and not overseas). Some roles will not be suitable for Hybrid Working. Similarly, Hybrid Working will not suit everyone’s circumstances. Arrangements will be discussed and agreed with the successful candidate(s) and subject to regular review. For nationally advertised roles, the successful candidate(s) will be appointed to a MoJ office location, which may include their nearest Justice Collaboration Centre or Justice Satellite Office. This will be discussed and agreed on the completion of pre‑employment checks. Some of MoJ’s terms and conditions of service are changing as part of Civil Service reform. The changes will apply to staff joining MoJ who are new to the Civil Service. Staff joining MoJ from other civil service employers will transfer onto the new MoJ terms if they are already on ‘modernised’ terms in their current post or onto ‘unmodernised’ MoJ terms if they are on ‘unmodernised’ terms at their current post. Details will be available if an offer is made. Standard full time working hours are 37 hours per week excluding breaks which are unpaid. HMPPS welcomes part‑time, flexible and job‑sharing working patterns, where they meet the demands of the role and business needs.
