Overview

The Lunesdale Surgery, part of the Western Dales PCN, is looking for a proactive and enthusiastic Reception Manager to work as part of our administration and multidisciplinary team.

Responsibilities

The Reception Manager is responsible for the day‑to‑day management and supervision of the reception team, ensuring a professional, efficient, and compassionate service for all patients and visitors. The postholder will ensure smooth front‑of‑house operations, manage patient access to services, and maintain high standards of customer care, working closely with the Practice Manager and clinical teams to support the delivery of safe, effective and well‑coordinated care.

Key Duties and Responsibilities:

  • Provide general assistance to the Practice Team and project a positive and friendly image to patients.
  • Ensure an effective and efficient reception service to patients and visitors.
  • Understand GDPR, Data Protection, and Practice policies and act as primary point of contact for queries.
  • Operate all reception and waiting room procedures, keep noticeboards updated.
  • Guide patients through service interactions and coordinate reception for clinics and health promotion activities.
  • Maintain accurate records of appointments, messages, visits, registrations, filings, births and deaths.
  • Ensure staff adherence to policies, supervise staff, authorise and monitor overtime, annual leave, appraisals, sickness, recruitment, rotas, training and disciplinary matters.
  • Delegate tasks for surgery cancellations or changes and act as primary contact for clinicians.
  • Lead and participate in Management Team meetings, provide data for practice development, maintain stock control, support CQC compliance.
  • Own appointment system knowledge, clinic management, telephone system, software and hardware training.
  • Maintain Health & Safety, fire checks, premises security, liaise with builders for building maintenance.
  • Ensure communication systems run smoothly, act as central information source.
  • Continuous improvement of processes, embed quality culture, report findings to Practice Manager.
  • Uphold confidentiality, health & safety, equality and diversity, and professional development commitments.

The postholder will also support the equality, diversity and rights of patients, carers and colleagues, meet statutory and mandatory training, and contribute to quality, communication and risk management.
