To keep our projects running seamlessly from concept to completion, we are looking for a highly organised and detail-driven Project Coordinator to join our team. This role is central to supporting Account Managers and Project Managers in ensuring flawless delivery—coordinating people, equipment, and logistics with precision.

What You’ll Be Doing

As a Project Coordinator, you’ll provide critical administrative and operational support to the sales and project management teams. From managing logistics to booking crews and tracking assets, you’ll keep projects moving efficiently while ensuring accuracy and consistency across every touchpoint.

  • System Expertise: Become fluent in R2 to support AMs and PMs with project orders and ensure accurate data entry.
  • Asset & Resource Allocation: Coordinate allocation of equipment (owned and hired), technicians (in-house & freelance), and transport.
  • Scheduling & Workflow: Ensure shipping, prep, and return dates are correct, managing project workflow from warehouse prep through delivery and return.
  • Procurement: Source and procure sub-hired assets, technicians, and transport using R2’s PO function, always negotiating best pricing.
  • Equipment Substitution: Work with AMs/PMs to approve substitutions when assets are unavailable and maintain efficient asset utilisation.
  • Project Logistics: Arrange transport, crew bookings, travel, and accommodation when required.
  • Financial Accuracy: Liaise with AMs and PMs to prepare project orders for invoicing, and assist Accounts when needed.
  • Client & Sales Support: Partner with AMs to follow up on quotations and opportunities, and support the sales team in RFPs, tenders, and pitches.
  • Relationship Management: Build and strengthen professional and social relationships with suppliers, hire companies, and freelance crew.
  • Team Collaboration: Attend regular project team meetings to review progress and share opportunities.
  • Stock & Consumables: Manage consumable inventory and crew clothing levels to ensure readiness.
  • Out-of-Hours Support: Provide project support during evenings/weekends when required.
  • Training & Research: Stay current on technical equipment developments and participate in training.
  • Database Management: Maintain crew databases and CRM systems to ensure accuracy and usability.
  • Strategic Input: Provide feedback to the sales team on process development, client insights, and overall progress.
What You Bring To The Table

  • Familiarity with R2 or similar project management/CRM systems (a plus).
  • Experience in live events, logistics, or technical production coordination preferred.
