Planned Works Administrator

Location: Kingston upon Thames
Contract: Permanent

Role Overview

Provide comprehensive administrative support to the Planned Works team, ensuring the efficient coordination and delivery of planned maintenance and improvement works across the social housing portfolio.

Key Responsibilities
  • Coordinate and schedule planned works (kitchens, bathrooms, roofing, windows, cyclical decorations)
  • Liaise with residents to arrange access, surveys, and appointments; manage queries and complaints
  • Update and maintain records on housing and asset management systems (e.g. Northgate, Keystone)
  • Track work orders, invoices, compliance certificates, and project progress
  • Support project managers and surveyors with reports, correspondence, and spreadsheets
  • Process purchase orders and invoices in line with financial procedures
  • Ensure data accuracy to meet KPIs, compliance, and audit requirements
  • Maintain Health & Safety documentation including RAMS
  • Communicate with contractors, suppliers, and internal teams
  • Support resident satisfaction surveys and collate feedback
About You
  • Proven administrative experience in a fast-paced environment
  • Strong IT skills (Microsoft Office and property/housing systems)
  • Highly organised with excellent attention to detail
  • Strong written and verbal communication skills
Desirable
  • Experience within social housing, local authority, or construction environments
