A leading professional services firm in Belfast is seeking a Personal Assistant to provide executive-level support to the Head of Professional Conduct. The ideal candidate will have 3-5+ years of experience in a corporate setting, exceptional organisational skills, and proficiency with Microsoft Office and CRM systems. Contract: Permanent, Full-Time (Monday-Friday)
Hybrid: 3 office days / 2 home-based after probation

Key Responsibilities
  • Provide direct executive-level assistance to the Head of Professional Conduct, ensuring smooth day-to-day operations.
  • Handle complex diary coordination, prioritising competing demands and acting as the main contact for incoming queries.
  • Prepare professional documents including reports, presentations, and data summaries to support high-level projects.
  • Organise and manage committee activity: scheduling, agenda setting, preparing papers, taking minutes, and monitoring follow-ups.
  • Maintain structured electronic and physical filing systems, ensuring compliance with internal standards.
  • Coordinate senior leadership meetings, both internal and external, including logistics, documentation, and action tracking.
  • Arrange business travel and process related expenses promptly.
  • Manage updates in CRM systems, ensuring information is current and accurate.
  • Monitor shared inboxes, prioritising messages and deadlines effectively.
  • Support compliance activity, including GDPR and ISO standards.
About You
  • 3-5+ years' experience as a PA, EA, or senior administrator within a corporate or professional services environment.
  • Strong discretion when handling confidential and sensitive information.
  • Confident using virtual meeting platforms such as MS Teams, Zoom, or GoToWebinar.
  • Skilled at drafting professional documents, supporting senior projects, and working to tight deadlines.
  • Experienced in committee/board support, including agendas, papers, and minutes.
  • Exceptional organisational skills with high attention to detail.
  • Strong knowledge of CRM systems (Microsoft Dynamics preferred).
  • Advanced Microsoft Office proficiency (Word, Excel, Outlook, PowerPoint).
