Position: Personal Assistant
Location: Ryton, Coventry (CV8 3LF) - Hybrid working
Work pattern: Monday to Friday. Day time hours (08:00-16:00 / 09:00-17:00) Flexibility is required for infrequent overnight stays for UK based meetings.
Contract Type: Permanent, Full-time

A TYPICAL DAY MAY INVOLVE
  • Supporting 4 VP's within the Manufacturing Logistics Senior Leadership Team in terms of key event organisation, data collation, local communications, event planning and collation of data packs
  • To coordinate activities through the provision of comprehensive and confidential PA support, including diary and email management, travel management, and meeting planning and material preparation
  • Travel Management - booking travel, transfers and hotels as required
  • Proactively arrange the required regular meetings, produce agenda and accompanying material, attend meeting, produce actions and send out in a timely manner
  • Coordinate the effective business administration of travel, business expenses, company credit cards and other associated information including Purchase Orders
  • Ensuring Compliance and other company policies including approvals are adhered to
  • Organisation and coordination of internal and external customer events; External Speaker events, liaising with third parties (Hotels, Audio Visual, Key speakers, gifts) to negotiate best price in line with budget
THIS ROLE WOULD SUIT PEOPLE WHO
  • Previous PA experience supporting at an Executive/VP level is essential
  • Proven experience of travel booking and coordination
  • Excellent communication skills both verbal and written
  • Strong MS office skills, including Teams, Excel and PowerPoint
  • Excellent organisation skills and able to prioritise multiple tasks
  • Being a trusted member of the team, able to confidently build relationships and managing queries from all levels of seniority
  • May be required, on occasions, travel to other DSC sites as appropriate
  • Good knowledge of technology - Smart phones, PC/laptop, tablets.
  • Are self-motivated, well-organised, adaptable and resilient with the ability to respond to challenging priorities with a sense of urgency and pace.
  • Have been customer oriented with excellent communication and organisation skills.
