Job description

We are working with a Tier 1 European intellectual property law firm in their search an experienced patent secretary / patent administrator. This is a Part-Time role working 3 days per week (Tuesday Wednesday Thursday with one office day 2 remote days.)

In this role you will be required to provide full PA and administrative support to a team of fee-earners / attorneys of mixed seniority.

Duties will include :
  • Liaising with fee-earners regularly to review progress, discuss upcoming work, and provide updates on outstanding matters. Dealing with cases independently where possible actioning daily prompts.
  • Inbox management.
  • Diary management to include scheduling in-person and virtual meetings, preparing relevant papers and presentations, and managing all associated logistics eg room bookings, refreshments, and liaising with internal teams.
  • Managing extensive international travel itineraries, coordinating flights, accommodations and schedules.
  • Preparing invoices
  • Attending team meetings and practice group meetings.
  • Preparing standard letters and emails.
  • Assisting with file management : including liaising with Records to open new cases, update special instructions, scanning and managing case files
  • Proactively preparing official forms for UK, European and international patent and design applications and some foreign patent applications.
  • Liaising with clients and the EPO directly where necessary.

For this position we are seeking someone with previous experience as a Patent Secretary, Patent Administrator or Legal Secretary within an IP team.

You must be proactive with the ability to work on own initiative as well as being a strong team player. Have excellent communication skills, both written and verbal. Be organised, able to prioritise, meet tight deadlines and work under pressure.
