Job description

We have a fantastic new opportunity for an exceptional Personal Assistant to support the Founder of a successful high-end property development business based in North West London. This is a varied, high-visibility role that blends traditional PA duties with private and business support and family coordination, suited to someone who is charismatic, proactive and highly organised, and who thrives in fast-moving, dynamic environments.

Following a recent acquisition by a major international real estate group, the business is entering an exciting transition phase with new projects and international activity ahead. The engaging Founder is looking for a trusted right-hand assistant who can bring calm, structure, and pace to both his professional world and his busy family life. The role has a lot of room for development as you will be more involved on the business side as the working relationship is established.

This position is fully office-based, Monday to Friday 8.30 – 5.30 with some flexibility to respond to urgent matters outside of core hours. Working closely beside the Founder and embedding yourself into the rhythm of the business. The ideal candidate will have strong organisational instincts, excellent judgement, and the confidence to work with senior stakeholders while also rolling up their sleeves with day-to-day personal admin.

DUTIES INCLUDE
  • Complex diary management, prioritising meetings and managing back to back schedules.
  • Coordinating travel arrangements, mostly to Europe and the Middle East.
  • Managing the Founder’s existing team, including the driver, household team and nanny schedules and logistics.
  • Preparing meeting briefs, documents and follow-ups as required.
  • Liaising with the investment director and providing light diary/travel support.
  • Acting as a trusted point of contact across the wider team; communicating clearly and discreetly.
  • Supporting projects that arise during the company’s transition phase.
  • Managing family scheduling and logistics for school-aged children.
  • Liaising with schools, tutors, activity providers and household contacts.
  • Sourcing gifts, managing personal errands and coordinating household admin.
  • Keeping personal records, reminders and tasks organised and up to date.
  • Ensuring the Founder’s day runs smoothly, pre-empting needs and resolving issues quickly.
  • Working closely with the Founder to ensure seamless communication throughout the day.
  • Collaborating with the receptionist for general office coordination when needed.
  • Supporting business trips, events and meetings.
ESSENTIAL CRITERIA
  • Strong PA experience supporting a senior leader in a busy, fast paced environment.
  • Comfortable handling a blend of business and private support.
  • Excellent organisational skills and attention to detail.
  • Confident communicator with strong interpersonal skills; not a wallflower.
  • Able to integrate well into a sociable and family-style office culture.
  • Discreet, trustworthy and calm under pressure.
  • Proactive, solutions-led, and happy to handle last‑minute changes.
  • Comfortable being office-based 5 days per week and contactable outside of hours.
  • Experience coordinating family or household admin is helpful but not essential.
  • Preference will be given to candidates available from early January.
  • Right to work in the UK.
  • Excellent, verifiable references.
