We are now seeking a highly organised, proactive, and driven Operations Assistant to support our growing operations.

Job Description

As an Operations Assistant, you will work closely with the Operations Manager to ensure the smooth running of daily business functions. This is a dynamic role that requires excellent multitasking skills, attention to detail, and a collaborative mindset.

Key Responsibilities
Administrative Support
  • Manage the Operations Manager's calendar, meetings, and travel arrangements.
  • Handle day-to-day correspondence and draft reports, emails, and presentations.
  • Take meeting notes and follow up on action points.
  • Maintain an organised digital and physical filing system.
Inventory & Sales Oversight
  • Conduct regular stock checks across all locations and maintain accurate records.
  • Coordinate with suppliers to ensure timely restocking.
  • Assist in sales tracking, commission reports, and performance updates.
  • Help coordinate and monitor sales campaigns and promotional activities.
Operational & Staff Support
  • Assist with hiring, training, staff scheduling, and general team coordination.
  • Monitor staff performance checklists and respond to staff communications promptly (calls, emails, WhatsApp).
  • Ensure all locations are aligned with company standards and procedures.
Data & Project Management
  • Assist in compiling reports for sales, expenses, and other KPIs.
  • Track project progress and keep documentation up to date.
  • Support decision-making with research and data analysis.
Customer & Marketing Support
  • Assist customer service teams with queries and complaints.
  • Help execute marketing campaigns and promotions.
  • Ensure consistent brand messaging across locations.
EPOS Management
  • Oversee the daily operation, performance, and maintenance of the EPOS system across all stores.
  • Maintain accurate product data, pricing, promotions, and system integrations with inventory, ERP, and e-commerce platforms.
  • Provide technical support, troubleshoot issues, and coordinate with vendors for fixes and updates.
  • Develop and optimise EPOS processes to improve store efficiency and customer experience.
  • Train retail staff and maintain documentation on system usage and procedures.
  • Monitor EPOS reporting (sales, refunds, voids, stock movements) and flag discrepancies.
  • Ensure compliance with security and data protection standards.
  • Lead EPOS installation and testing for new store openings or relocations.
  • Support system integrations and cross-functional projects requiring EPOS input.
  • Continuously identify improvements and recommend upgrades to enhance operations.
Compliance & Safety
  • Perform annual compliance checks on all certifications across sites.
  • Support with health & safety audits and ensure regulations are met.
Requirements
  • Excellent organisational and multitasking skills.
  • Strong written and verbal communication.
  • Proficiency in MS Office; knowledge of inventory software is a plus.
  • Ability to work under pressure and meet deadlines.
  • Knowledge of or interest in the perfume industry is desirable.
  • Attention to detail, a proactive attitude, and a collaborative approach.
  • Weekday and weekend availability is required.
  • Candidates should be able to travel to different locations within the UK without any restriction.
