AlphaGrep is a quantitative trading and investment firm founded in 2010. We are one of the largest firms by trading volume on Indian exchanges and have significant market share on several large global exchanges as well. We use a disciplined and systematic quantitative approach to identify factors that consistently generate alpha. These factors are then coupled with our proprietary ultra-low latency trading systems and robust risk management to develop trading strategies across asset classes (equities, commodities, currencies, fixed income) that trade on global exchanges.

We are seeking a proactive and approachable Office Manager to support our growing international presence from our London office. This individual will be the operational anchor of our UK office while providing essential coordination for our smaller teams in Paris, Amsterdam and Geneva/Zurich. The role requires a hands‑on, resourceful professional who can seamlessly manage day‑to‑day office operations, executive support, and team engagement in a dynamic, fast‑paced environment. The candidate will also act as PA for the COO/head of London.

Responsibilities
  • Serve as the primary point of contact for London office operations, including pantry management, travel management and health & safety.
  • Provide executive support through complex calendar management, travel coordination, and administrative assistance.
  • Oversee office setup, including IT workstation preparation.
  • Facilitate a welcoming and efficient visitor experience by providing assistance, access, and other office needs - including hosting large groups.
  • Proactively identify and resolve office issues, manage vendor relationships, and maintain a productive, welcoming workplace.
  • Plan and support team engagement activities, in‑office events, and wellbeing initiatives.
  • Handle ad‑hoc tasks, mail, couriers, and invoice processing with a high degree of ownership.
  • Continuously seek feedback from employees to identify opportunities for improvement and enhance the overall office experience.
  • Act as a liaison for our Paris, Amsterdam and Swiss teams for office‑related queries, travel management, vendor coordination and administrative support. Some travel to and between the European offices will be required.
The ideal candidate should
  • Be highly proactive, approachable, and able to manage people and priorities with ease.
  • Have hands‑on experience setting up workstations, managing office logistics, and supporting IT onboarding.
  • Be an exceptional organiser, with strong experience in diary management and international travel coordination.
  • Possess excellent communication skills and the ability to work effectively with teams across multiple locations.
  • Ability to handle multiple priorities in a time‑critical and dynamic environment.
  • Be a smart, reliable professional who can independently “get work done” in an office setup.
Qualifications
  • Ideally 2+ years of experience in an Office Manager, PA, or similar operational support role, preferably within a fast‑paced environment.
  • Strong proficiency in office management, executive support, and team coordination.
  • Excellent interpersonal skills and the ability to build positive relationships at all levels.
  • A resourceful, ownership‑driven approach with the ability to plan ahead and react calmly to changing needs.
