Job Summary

Medical Records Library Department – 18 month fixed term post. 2 positions – Saturday & Sunday 06.00‑14.00 (15 hours) and Tuesday, Wednesday & Thursday 12.00‑20.00 (22.5 hours).

Role Description

We are looking for an enthusiastic and self‑motivated Band 2 Clerical Officer to join our busy Medical Records Library Department at Leighton Hospital. The post holder will provide general administrative duties and be responsible for the storage, retrieval and management of patient health records.

Key duties include:

  • Retrieve, file and archive individual patient records.
  • Update patient demographics as required.
  • Communicate with a wide range of professionals within the Trust and across the health economy.
  • Support the shift pattern Monday‑Friday 6am‑2pm and work flexibly to cover high patient demand.
  • Contribute to the service transformation towards electronic patient records.
  • Maintain confidentiality and accuracy during prolonged repetitive tasks.
About the Department
  • Appointments – book outpatient appointments, manage waiting lists and liaise with patients or carers. Desk‑based.
  • Reception – welcome patients, enter key information accurately within the patient administration system and confirm or reschedule appointments. Desk‑based.
  • Call Centre – central contact centre managing telephone queries from patients and carers and requests to rebook appointments. Desk‑based.
  • Library – responsible for storage, retrieval and management of patient health records. Physically demanding.

Person Specification

Essential Qualifications

  • GCSE Maths and English (grade C or above) or equivalent qualifications; or successful completion of the rotational apprenticeship scheme within Health Records/Outpatients.
  • Awareness of confidentiality requirements in accordance with the Data Protection Act and national/local guidelines.

Desirable Qualifications

  • Knowledge of Trust systems: PCS, Somerset, NHS e‑Referral Service, Bookwise, Envoy.
  • European Computer Driving Licence (ECDL).

Essential Skills
