Job summary

Maternity Administrator role at NHS Professionals in Oxford, based at the Women’s centre - John Radcliffe Hospital. Temporary for 3 months with potential extension, 37.5 hours per week, Monday to Friday, 9.00am–5.00pm.

The post supports coordinating outpatient waiting lists, ensuring timely scheduling, and maintaining accurate electronic patient records within the NHS framework. NHS experience and IT proficiency are essential.

Qualifications

  • Good standard of education; GCSE English and Maths or equivalent NVQ Level 3 Business Admin.
  • Proven IT literacy with common software (Outlook/Word/Excel/PowerPoint).
  • Clear communicator with NHS experience preferred.
  • Strong attention to detail and ability to manage records.

Responsibilities

  • Ensure accurate patient records and clinical details added onto EPR promptly.
  • Book appointments on EPR per policy and triage referrals within 48 hours.
  • Manage ERS appointment dates according to clinical priority and wait times.
  • Record cancellations and communicate reasons to relevant parties.
  • Liaise with clinicians, managers, nursing and admin staff to maintain capacity and waiting times.

Job Title: Maternity Administrator

Location: Women’s centre- John Radcliffe Hospital Headley Way Oxford OX3 9DU

Hours: 37.5 hours per week Monday – Friday 9.00am – 5.00pm

Trust: Oxford University Hospitals NHS Foundation Trust

Role type: Temporary for 3 months with possibility of extension

Role details

The post holder is one of a team responsible for effectively managing the smooth coordination of the outpatient waiting list service for the Directorate and ensuring that elective targets in relation to ensuring Outpatient, Diagnostic and post-operative waiting times are met at both in a consistent and timely manner.

Duties & responsibilities
  • Ensure accurate and comprehensive patient records and clinical details including outpatient referrals are added onto EPR in a timely manner, according to agreed standards, (the Trusts’ Elective Access Policy and Data Quality).
  • Book appointments on EPR as per Trust procedures in line with the Trusts Elective Access Policy and ensure all referrals are clinically triaged within 48 hours.
  • Ensure that patients on ERS (Electronic Referral System) are given appointment dates in accordance with clinical priority and length of wait, and that patients on the ASI list are managed accordingly.
  • Ensure that the appropriate action is taken following both patient and hospital cancellations, such that the utilisation of elective capacity is maximised.
  • Ensure all clinician annual leave and changes in outpatient sessions are accurately recorded on the electronic patient record (EPR) and that the affected outpatient sessions are proactively maintained such that maximum waiting times are met and capacity is fully utilised. As such the post holder will liaise closely with clinicians, managers, nursing and administrative staff.
  • Maintaining filing system and other basic office duties.
  • Be responsible for communicating cancellations to all relevant parties with the reasons for cancellation.

  • A sense of teamwork, gained through working alongside and supporting colleagues from all levels, within the organisation
You’ll have the following skills/experience:
  • Good standard of education; GCSE English and Maths or equivalent NVQ Level 3 Business Admin
  • Intermediate knowledge of IT systems and software programmes such as Outlook, Word, Excel, PowerPoint and Access
  • Clear communicator
  • NHS experience (essential)
  • High level of concentration as well as strong analytical skills
