Overview
As a Logistics & Supply Coordinator at G3 Systems Ltd, you will support the effective planning and execution of logistics and supply activities for national and international programmes. You will manage the full spectrum of shipment logistics—including airfreight, sea freight, road, and courier services—ensuring movements meet project timelines and quality standards.
This permanent full-time position is based at our Osprey Quay offices in Portland. Occasional national travel may be required, subject to prior agreement. Salary is circa £30,000 per annum, dependent on experience, with a comprehensive benefits package.
The Logistics & Supply Coordinator reports to the Supply Chain Manager and provides comprehensive support across all phases of the logistics supply chain, working closely with programme and project delivery managers to ensure efficient project execution.
The successful candidate must demonstrate a high level of self-motivation and initiative, with a proactive approach to problem-solving and task ownership. A driven mindset and the ability to work independently without constant supervision are essential for success in this role.
Responsibilities
- Organise and coordinate the shipment of goods via air, sea, road, and courier services to support current and upcoming projects.
- Track and manage project logistics, including goods receipt, defect reporting, dispatch preparation, and delivery follow-ups.
- Ensure correct and compliant packaging of hazardous and sensitive materials.
- Liaise with internal stakeholders, including project and programme delivery managers, to align logistics with project schedules.
- Maintain accurate records and documentation throughout the supply chain process.
- Actively manage delivery timelines to avoid project delays.
- Support compliance with relevant export/import regulations and company policies.
- In coordination with the Warehouse Coordinator, ensure the following are carried out in the OQ Warehouse: Goods Receiving, Defect handling, Picking & Packing, Dispatch, Hazardous packaging.
- Carry out analysis and summary of supplier performance data in line with established metric requirements for the Supply Chain function, providing input into logistics planning and improvements.
- Ensure all packing lists, shipping invoices and other export documentation are correctly raised as required.
- Liaise with freight forwarders to obtain quotations for packing and transport activities (Worldwide) by air/sea/road and to progress shipments and required documentation.
- Liaise and negotiate with new & existing freight forwarders to obtain best quality and value for money.
- Maintain direct liaison with project managers to ensure all shipping and transport activities in support of project-specific contracts and programmes are fully met.
- Raise requisitions and purchase orders for logistical requirements.
- Assist in maintaining accurate stock inventory on Costpoint.
- Maintain records and lead on the procedure to regain Known Consignor status.
- Improve the effectiveness and efficiency of the department to ensure materials arrive at their required location in good condition, at the right time and presented in the right way.
- Ensure good, safe working practices.
Qualifications

- Computer literate
- Excellent Excel skills
- GCSE in Maths and English
- UK Level 2 Certificate in Logistics and Transport or equivalent (preferable)
- FLT license
- Willingness to take on responsibility for First Aid and/or Fire Warden Duties (training offered)
- Dangerous Goods License (desirable)
- FLT Bin 1 License (desirable)
Skills / Experience

- Experience and knowledge in export procedures, especially to restricted sites / foreign / armed forces operational bases.
- Minimum of 3 years logistics experience.
- Good time management and problem-solving abilities; ability to make decisions and think creatively.
- Commercial awareness and ability to negotiate; strong interpersonal and communication skills (oral and written).
- Ability to work as part of a team and manage people where applicable; adaptable to change.
- Maintain metrics and analyze data to assess performance and implement improvements; comply with laws, regulations and ISO requirements.
- High level of accuracy; flexible approach to workloads; proactive in seeking improvements.
