Job Summary
The Logistics and Procurement Officer is responsible for processing procurement requests, providing comprehensive logistics support for office and programmatic activities, and assisting with relevant administrative and NGO Affairs Bureau tasks. This role requires strong organizational, communication, and collaboration skills to ensure the smooth completion of tasks. Additionally, the officer must have a thorough understanding of procurement procedures, national laws and regulations, and WCS policies to ensure compliance.
Major Responsibilities
- Organize and oversee the logistical arrangements for training, consultation, educational outreach events, surveys, and other program activities.
- Ensure timely logistics arrangements and proper documentation for the safety and security of event team members.
- Collaborate regularly with program managers, coordinators, and the WCS finance team, including visits to Khulna and other offices as required, to complete assigned responsibilities and tasks, including procurement and logistical support for organizing events and outreach activities, as well as other miscellaneous assignments.
- Collaborate with program managers and coordinators on procurement requirements and initiate the procurement process.
- Prepare necessary procurement documents based on purchase requisitions as per the guidelines.
- Collect quotations and prepare comparison sheets for local procurement, ensuring compliance with WCS, donor, and GoB purchase policies and regulations.
- Prepare comparative statements (CS), purchase orders (PO), and contracts, and submit them to the HR and NGOAB Liaison Manager and Finance Manager for review and recommendation.
- Support in organizing bills, vouchers, and other financial documentation from vendors for procurements, requisitions, and payments.
- Maintain up-to-date project and program documentation for statutory and donor audits.
- Maintain the office inventory and ensure appropriate storage and maintenance of WCS property.
- Support the Human Resource and NGOAB Liaison Manager in administrative tasks and reporting.
- Supervise support staff to ensure a healthy working environment, including hygiene, safety, and security of the office and employees.
- Support the Human Resource and NGOAB Liaison Manager with any tasks needed for smooth operation.
