We have an exciting opportunity for a Legal & Estates Administrator to join our team based at our Head Office in central Eastbourne. This role would suit someone who is highly organised, detail‑oriented and looking for a role that combines providing a comprehensive administration support with legal and property responsibilities.

Reporting to a solicitor in the team and working closely with the Legal and Estates Director, you’ll play a key role in supporting our property portfolio and legal matters. From maintaining property records and coordinating rent and service charge payments to assisting with lease interpretation and legal documentation, this role offers variety and responsibility. You’ll liaise with landlords, tenants and internal teams, ensuring compliance and smooth operations.

Responsibilities
  • Maintaining accurate records of leasehold and freehold property holdings
  • Coordinating rent, service charges, and utility recharges
  • Liaising with landlords, tenants and internal teams on a variety of property matters
  • Assisting with lease interpretation, boundary issues and legal documentation
  • Supporting the Solicitor and the Legal & Estates Director on a variety of confidential and legal matters, providing a comprehensive administrative support
  • Supporting with the preparation of draft property management documentation
  • Handling all general legal enquiries, triaging where necessary
  • Supporting the department by conducting research when required and where needed
Qualifications
  • Previous paralegal or legal administration experience with a desire to gain a legal qualification and understand certain legal requirements in the business
  • Strong administration experience with a background providing a fully comprehensive admin support to a team
  • Previous administration experience within legal, property or commercial conveyancing would be beneficial
  • Excellent organisational skills that are matched with confidence to plan and prioritise your workload independently and without supervision
  • Proactive and forward thinking with the ability to multitask effectively and work to deadlines
  • Initiative – to detect problems and solve challenges
  • Exceptional attention to detail and the ability to manage confidential information
  • Confident communication skills interacting with colleagues and suppliers at all levels over the phone, face to face and in written communications
  • Proficient in Microsoft Office to an intermediate level including Word, Excel, PowerPoint, Outlook and happy to learn and embrace new software and technologies
