Job description

LOCATION: Based in the Henley-in-Arden or the Birmingham Office but required at times to travel to other Mercia offices.

Role

The Fund Administrator will support the investment teams in the administration of their funds, with responsibilities including but not limited to: the investment process, internal and external reporting processes, the day-to-day functioning of the funds and their investment portfolio, and collating and reporting on portfolio company data.

Reporting to the Head of Client Reporting & Fund Administration, the Fund Administrator will liaise extensively with the Fund Administration team, investment teams, Fund Principals and Managing Directors, as well as interacting with Compliance, Legal and Finance functions.

Responsibilities
  • Co-ordinating all investment applications by ensuring the correct information is logged in the asset management system (Quickbase) and that this is kept up to date and accurate as applications progress.
  • Performing anti-money laundering (“AML”) checks on all parties involved in new deal completions, follow-on investments, divestments and in monitoring existing portfolios.
  • Co-ordinating the documentation required for the deal completion process, from inception to completion, including cash drawdowns where relevant, cash transfer and post-completion tasks, ensuring that the documentation is compliant with both Mercia’s internal processes, regulatory and other external requirements, and is appropriately collated and filed.
  • Assisting in collating portfolio companies’ monthly management information and other relevant data.
  • Supporting the quarterly reporting process – planning and adhering to timetables, ensuring all third-party information is collated in a timely manner, ensuring that Quickbase is up to date, supporting investment managers on maintaining the valuation models, production of the funds’ reports, liaising with Finance on quarterly accounts information.
  • Managing the process to evidence the achievement of non-financial targets, monitoring progress and taking a proactive approach to collating new outputs.
  • Assisting on the development, co-ordination and production of internal and external reports and analyses.
  • Supporting the statutory annual audit process and any fund-specific audits, including planning timetables and ensuring that audit deliverable deadlines are adhered to.
  • Co-ordinating, attending and minuting meetings as required.
  • Assisting and covering Fund Administration colleagues during times of holiday or other absence.
Skills & Experience
  • Excellent time management and a high level of organisation are essential requirements.
  • A passion for getting things right, tenacious in pursuing a query until satisfactory resolution; scrupulous attention to detail is essential.
  • Excellent communication and interpersonal skills, able to work with colleagues at all levels.
  • Strong work ethic and ability to work both independently and as part of a team.
  • A good working knowledge of Excel and other Microsoft Office products.
  • Numerate.
  • Proficient in database use.
  • Previous experience in administration roles, combined with strong controls background.
