Job summary

Ayvens in Milton Keynes is seeking a proactive Fleet Administration Assistant to help keep the rental fleet moving and costs under control. You will coordinate repairs, process invoices, and manage damage-related queries, working with workshops, suppliers and customers.

You will review vehicle condition reports, maintain records, and support day-to-day administration for the Flex Operations team, ensuring timely responses and accurate documentation.

Qualifications

• Experience in vehicle rental/fleet/automotive environments.
• Experience handling invoices and administration tasks.
• Excellent attention to detail and strong organisational skills.
• Confident communication and a professional approach.
• Ability to manage a busy workload and prioritise effectively.
• Good IT skills: Excel, Word, Outlook.
• A valid UK driving licence.

Responsibilities

• Review vehicle condition reports for returned vehicles and arrange repair estimates where needed.
• Keep vehicle records and stock information up to date.
• Coordinate with repairers and suppliers to ensure timely repairs.
• Contact customers when repair costs require approval.
• Raise damage recharge invoices and ensure they are sent promptly.
• Process maintenance and repair invoices for approval and payment.
• Respond to customer questions about vehicle damage, repair costs and invoices.
• Maintain accurate records and supporting documentation.
• Monitor ongoing repairs and help keep workloads on track.
• Support the Flex Operations team with day-to-day administration.
