We’re looking for a proactive, trusted and highly capable Executive Assistant to support three senior leaders: the GM Bulk West, Head of Customer and Growth, and GM Containerised Freight.

This is an exciting opportunity to step into a fast-paced, high-visibility role where you’ll be at the centre of operations, helping ensure our leaders and our Welshpool Office run smoothly and professionally.

About the role

In this pivotal role, you’ll deliver confidential, efficient and high-level executive support, coordinating a wide range of administrative, operational and stakeholder-facing activities. From diary management and reporting to running the Welshpool Head Office, you’ll be the trusted go-to for our senior leaders.

Key responsibilities include
  • Oversee day-to-day administration and provide professional office management support.
  • Manage the Welshpool Head Office environment, including events, client engagement and general administration.
  • Prepare high-quality reports, presentations, documents, spreadsheets and correspondence for the executive and the Board.
  • Coordinate complex diaries, meetings, travel, conferences and stakeholder engagements.
  • Professionally liaise with Executives, the Board, government officials, union representatives and business leaders.
  • Analyse and improve systems, workflows and business processes.
  • Maintain effective office management systems, monitoring outcomes and ensuring timely follow-up.
  • Provide meeting support including agenda preparation, minute-taking and action tracking.
  • Identify matters requiring Executive attention and manage follow-through to completion.
  • Work with Aurizon’s travel management team to coordinate travel for the three GM’s
  • Coordinate activities across the broader business unit as required.

About You

You’re organised, adaptable, and thrive in a role where no two days look the same. You’re confident navigating complex stakeholder environments, balancing competing priorities, and maintaining confidentiality at all times.

You will bring
  • Minimum 3 years’ experience in administrative support roles
  • Proven ability to support senior leaders or executives
  • Exceptional planning, coordination and time management skills
  • Strong written and verbal communication skills with the ability to influence and negotiate
  • Advanced problem solving, research and decision-making capability
  • High proficiency across Microsoft Office, Microsoft 365 and SAP (or similar systems), digital workflow tools & collaboration and enterprise communication tools
  • Ability to work both independently and collaboratively
  • A proactive, professional approach with strong ethical and commercial judgement
  • Working knowledge of HR, budgeting, financial processes, safety, legal compliance and business planning
