Job Title: Executive Assistant / Project Manager (Part-Time)

Salary: £40,000 per annum (Pro Rata, Depending on Experience)

Location: Northwest London Hybrid (3 days office, 1 day WFH) | Flexible Hours | 4 days / week

Are you an experienced and polished Executive Assistant / Project Manager seeking a meaningful, flexible opportunity? Were looking for a highly capable individual to join a globally recognised sustainable design and manufacturing company while also supporting the development of a prestigious new UK-India creative industry initiative.

This hybrid, part-time role supports both the Founder and the Chair of the newly formed UK-India Creative Council (UKICC) a groundbreaking membership organisation fostering collaboration between the creative industries of the UK and India.

You’ll need to be confident working at the intersection of business, government, and the arts, liaising with C‑suite executives, international partners, and public sector stakeholders. Discretion, diplomacy, and global cultural sensitivity are key.

About the Role

This is a unique dual‑role position. You will be the trusted Executive Assistant to the Founder and Chair, managing high‑level operations across both the commercial and policy spheres. In addition to supporting a dynamic sustainable merchandise and packaging business, you'll play a key role in the operations and launch of the UK‑India Creative Council a bilateral initiative promoting trade, talent, and cultural exchange between both countries.

The UKICC aims to grow the contribution of the creative sectors in both economies through cross‑country initiatives, trade missions, and international events spotlighting artists, designers, craftspeople, filmmakers, and innovators from both regions.

Executive & Strategic Support
  • Provide proactive assistance to the Founder / Chair, including diary management, inbox handling, international travel planning, and document preparation
  • Coordinate high‑level meetings and roundtables with UK and Indian stakeholders across government, business, and the creative sectors
  • Draft briefings, policy notes, event summaries, and correspondence for senior partners and institutions
  • Act as liaison between the Chair, board members, and partner organisations across both countries
Project Management & Council Support
  • Oversee planning and delivery of UKICC initiatives, events, trade missions, and industry collaborations
  • Develop critical paths, project documentation, and stakeholder reports for UKICC and Bags of Ethics projects
  • Coordinate with internal teams, suppliers, and international partners particularly in India
  • Track budgets, manage documentation, and support reporting to public sector and partner organisations
Client & Partner Liaison
  • Communicate with high‑profile figures across design, fashion, government, and media with confidence and discretion
  • Represent the Chair and organisation at select meetings, industry events, and exhibitions
  • Support public communications, event preparation, and stakeholder engagement strategies
Requirements
  • 8+ years in an Executive Assistant or Project Manager role supporting senior leadership, ideally in government, creative industries, or international trade
  • Strong experience working with high‑profile stakeholders, including policymakers, cultural institutions, and luxury brands
  • Excellent writing and communication skills capable of preparing briefing papers, formal correspondence, and strategy documents
  • Experience coordinating international projects or events, particularly involving UK India relations, is highly desirable
  • Proficient in Google Workspace, Excel, and project management tools (Asana, Monday.com, etc.)
  • Able to manage sensitive information with utmost confidentiality and diplomacy
  • Passion for sustainability, global collaboration, and the creative industries is essential
