We are looking for an enthusiastic and experienced individual that will take responsibility for the provision of a professional, efficient and confidential personal assistant and secretarial service to the Deputy Director of Estates and Facilities, their deputies and or their direct reports.
You will support your peers to enable cross working as necessary dealing and managing continuously developing demands.
You will have and maintain excellent interpersonal and communication skills to ensure effective working relationships at all levels. These will be used internally and externally to the Trust, including contact with NHS and none NHS organisations across the national health community.
You will work with the Deputy Director of Estates and Facilities and the wider Estates and Facilities Team ensuring identified job plans are reviewed, live and support the developing demands of this role.
You will directly support the Deputy Director of Estates and Facilities and ensure that all relevant meetings are co-ordinated and effective through your collation of minutes, action plans, meeting packs and stakeholder support including in which there is Executive leads present.
The role will be expected to support and in some instances lead on all Estates and Facilities systems such as the departments electronic filing system and its Staffnet pages.
You will be required to support the Deputy Director of Estates and Facilities in handling sensitive information and be expected to have integrity and work with trust and discretion.
You will play a pivotal role in ensuring efficiency in the department through pro-actively supporting the management team and play a key role in ensuring that tasks across the office and department are being managed and addressed accordingly.
Through your positive attitude, experience and knowledge, you will ensure and prioritise diaries, control office stock, support with procurement and display an excellent 'can do' attitude and approach and provide administration support to the management team where there is a requirement to book courses, training, travel or any other administration service which is reasonable in line with the job description and requirements.
