A leading global elevator and escalator company in Woking is seeking an Engineering Administrative Specialist to manage solution documentation and support the Sales teams throughout the elevator order process. The ideal candidate will possess strong document control experience, effective communication skills, and proficiency in SAP and Microsoft Office. Qualifications

  • Previous experience in an administrative role is desirable.
  • Experience with document control systems (Aconex, A-Site, 4P) is desirable.
  • Able to communicate effectively at all levels.

Responsibilities

  • Manage the elevator order process from beginning to completion.
  • Execute the standard layout approval process with internal stakeholders.
  • Update and maintain the quality of internal documentation.

Job description
Purpose

The Engineering Administrative Specialist is accountable for keeping solution documentation and solution data up-to date, approved, and stored in the appropriate place.

(Please note that within the business this role will be known as CSE Specialist)

Key responsibilities
  • Works closely with the Sales teams and manages the elevator order process from beginning to completion; executes the standard layout approval process with internal stakeholders, orders standard materials (and creates POs) from Supply Line
  • Manages costing and pricing approval processes
  • Manages change order processes (variations and additional works)
  • In high-volume units, manages other transactional processes, for example customer document approval processes (layouts, drawings etc.)
  • Updates and maintains the quality of internal documentation, as needed
Detailed documentation to be managed on a daily basis includes
  • Approval documents
  • Authority approval documents
  • ‘As built’ technical customer documentation
  • Relevant layout and cost documents
  • Compliance documents
  • Other relevant technical documents
Based on experience, can be also responsible for
  • Local translations of layouts
  • Local codes, regulations, and safety requirements and compliance
  • Environmental regulations compliance
Key experiences & skills
  • Previous experience in an administrative role is desirable
  • Document control experience – (Aconex, A-Site, 4P – desirable)
  • Good communication skills in English (written and spoken)
  • Efficient, well organised, and able to communicate at all levels
  • Attention to detail and accuracy
  • Proficient in SAP, Salesforce and Microsoft Office applications
  • AutoCAD experience is desirable
