A leading engineering firm in Alloa is seeking a Document Controller for a 12-18 month maternity cover contract. This role involves managing documentation and ensures compliance with quality processes. Document Controller (Maternity Cover)

Reporting to the NNB Project Manager, the Document Controller will be an integral member of the team and will support both the Project Manager and Quality Engineer in the management and coordination of all documentation and manufacturing surveillance. Responsibilities will range from coordination of documentation processing and sub supplier surveillance notifications, to managing the associated documentation both pre- and post-manufacturing surveillance visit.
Including but not limited to:
Coordination of the sub supplier surveillance notification from receipt to submission to all relevant notification bodies
Day-to-day management of the surveillance management and tracking tool to ensure no notifications are missed or late
Chase up notification bodies for attendance requirements
Receive all documentation from the inspection, log into document management system, and submit copies to relevant notification bodies
Book and coordinate the travel requirements for the project team
Assist the Quality Team in Documentation Control
Weekly / Monthly report for each package on DC matters
Provide support to the project team on all Document Control matters
Quality check internal documents as well as External Provider documentation
Maintain Document Registers
Prepare progress reports as required (Documents outstanding / overdue, Documents received on time, Documents due to be submitted)
Documents are managed according to the Project requirements
Ensuring hard copies (when required) and electronic copies of all previous revisions are available and uploaded on to the EDMS
Ensure archiving is undertaken in accordance with the Quality Management System
Manage and coordinate External Providers and the Project’s Final Documentation with the assistance of the department heads
Developing and maintaining relationships with all project team members and external providers
The DC team are focused on coordinating with all disciplines of the project and external providers, in order to ensure that all documents are produced, shared, reviewed and archived in accordance to the Document Management Procedure (DMP)
Minimum of 3 years of experience in document management
Ability to integrate and be part of a team
Good communication skills, both written and verbal
Logical and well organised
Close attention to detail, methodical with the ability to prioritise
Able to manage workload by understanding requirements, deadlines
Ability to work autonomously, when required, to prioritise and multi-task on competing projects and to execute and complete deliverables in a timely manner is critical
Preferably prior experience in the industrial sector
The role may require some regular travel both in the UK and potentially worldwide. Prepared to work reasonable amounts of overtime as required by the Lead NNB Project Manager to match the operational demands of the projects.
