Job Description

Document Controller - FM - 28k - St Albans - Permanent Role

My client, a leading Facilities and Maintenance Provider, is currently recruiting for an experienced Document Controller to join their team based in St Albans.

Working hours: Monday to Friday, Full-time in the Office, 8:30-17:30

Main Duties
  1. General Document Control duties
  2. File documents in physical and digital records and ensure appropriate storage
  3. Check all documentation on the job file for accuracy and completeness prior to saving to Digital logbooks in AssetPro in correct format
  4. Review Operative worksheets for updated assets and update the Asset Register on AssetPro accordingly, ensuring all information is correctly captured
  5. Review and maintain the accuracy of the records, editing where necessary to ensure they are up-to-date
  6. Identify remedial work arising from routine maintenance activities
  7. Manage the processes around documentation within the organisation
  8. Maintain confidentiality around sensitive documentation
  9. Assist in the preparation of the monthly contract report and ad-hoc reports
  10. Manage requests for documentation
  11. Train employees on how to use and access the documents
  12. Communicate and collaborate with Helpdesk Operators, Operatives, and sub-contractors working on contracts
  13. Follow company processes and procedures
  14. Meet all KPIs measured on a periodic basis
