What is the Opportunity?

We have an excellent opportunity for a Client Administrative Services Associate to join the Chief Administrative Office (CAO). The successful candidate can be based within a commutable distance to any of the RBC Brewin Dolphin office network.

You will report to the Client Administrative Services Senior Manager and act as a key point of contact for both clients and client facing teams (CFT). Responsibilities within the team include but are not limited to the completion of tasks related to regional client reallocation, regulatory client call backs, W-8 BEN renewals, managing bereavement services, fee anomalies and CFT operating events.

You will work in partnership with colleagues across various areas of the business such as Compliance, Risk, Tax and Operations to support CFTs and build strong relationships to deliver good client outcomes with a focus on consumer support / Consumer Duty. The successful candidate will be skilled at analysing data, have strong organisational and communication skills with the ability to influence stakeholders where necessary.

RBC’s expectation is that all employees and contractors will work in the office with some flexibility to work up to 1 day per week remotely, depending on working arrangements.

What will you do?
  • Carry out client call backs / direct client emails, relating to change of bank details, queries relating to the W8-BEN form process.
  • Support the central Client reallocation process for CP leavers across the branch network, being the main point of contact, liaising with CFT, Operations and IT. escalating queries to Senior Managers across branches and CAO.
  • Manage the bereavement process / redesigning the bereavement process.
  • Manage operational event process (below the RBC reportable threshold). This includes ensuring operating events are correctly logged / performing quality assurance and working events through to completion / handling escalations through to resolution.
  • Produce CFT support material for data remediation projects i.e. CP Leavers underlying client data, MI to track progress throughout each reallocation, MI to track W Form completion rates
  • Contribute with appropriate updates on CFT Teams Calls, CFT Teams Chats, office / regional calls to update on Reallocation of clients, regulatory findings / breaches.
  • Deliver automated / semi-automated workflow solutions to optimize the end to end process.
  • Work closely with wider CAO teams (i.e. Business Engagement / First Line Due Diligence / Process Architecture) and partner with the business to identify and triage issues limiting business productivity, efficiency and overall performance.
  • Analysis of business data and MI, constructing summary reports as required for meetings (forums / committees).
  • Attend refresher training throughout the year to support the regulatory changes within processes.
  • Work with the Head of the team and CAO Business Engagement team to ensure offices have the resources & support needed to embed changes within the branch network.
  • Facilitating the implementation / adoption of other centrally-driven projects and initiatives, feeding back constructive challenges from CFTs where appropriate.

  • Strong understanding of Risk.
  • Proven experience working within a similar industry – we are happy to review applications from candidates working at both Associate and Senior Associate level depending on experience.
  • Good numerical skills.
  • Strong MS Office skills (Word, Excel, PowerPoint).
  • Meticulous attention to detail, taking pride in high quality output.
  • Well organised and focused.
  • Empathetic and able to communicate with colleagues across all levels and functions.
  • Flexibility to travel across RBC Brewin Dolphin's office network, as needed.

  • Experience in wealth management, though broader financial services or related industry is equally transferable.
