Job description

We require Clerical Officers to provide admin / clerical support within the Health Records Department at Victoria Hospital, Kirkcaldy.

Post hours
  • Post 1 – Permanent - 16 Hour - Wednesday 16.00 - 20.00, Thursday & Friday 14.30 - 18.30, Saturday 08.00 - 12.00
  • Post 2 – Permanent - 11 Hour - Thursday 20.00 - 00.00, Saturday 08.00 - 13.00 & every Second Sunday 08.00 - 12.00
  • Post 3 – Permanent - 30 Hour - Monday to Friday 18.00 - 00.00

It will be your responsibility to work within the DHRS team, covering A&E at VHK, occasionally at MIU, QMH and NHS Fife Switchboard.

Responsibilities
  • Provide a front line service to patients arriving at A&E and MIU, supporting recording of patient attendance and admissions via Trakcare. Be confident in dealing with anxious and upset patients / relatives with empathy and professional customer service.
  • Perform administrative tasks including running off reports, updating data, preparing and scanning medical casenotes / ED cards, and uploading to the clinical portal.
  • Be trained within NHS Fife Switchboard and handle calls from internal and external callers, respond to pager requests, respond to emergency calls, monitor alarms, and provide advice and support on telephony services.
  • Undertake ad hoc duties as requested by Health Records Supervisors to ensure efficiency across the 24/7 Inpatient and Emergency team.
  • Maintain a high level of accuracy and attention to detail as data is uploaded to a live clinical system.
  • Work independently and as part of a team in a busy environment.
Qualifications and experience
  • Relevant admin / clerical experience; ability to prioritise and manage day to day workload.
  • Educated to Standard Grade (or equivalent) with passes in English and Arithmetic.
  • Good keyboard / typing skills with the ability to work on your own initiative.
  • Good organisational & listening skills; flexible approach to working; clear English language competency to perform the role safely and effectively.
