Providing administrative operation to support Research & Development activities sharing tasks with team members: R&D in Europe : Hitachi Global; R&D in Japan: Research & Development : Hitachi.

What you’ll be doing

All the tasks are shared with team members in cooperation with other organizations such as Hitachi, Ltd. in Japan and Hitachi Europe Ltd. Tasks shall include but not be limited to:

  • Procurement administration: Raising purchase order/request; Vendor/customer registration; Tracking expenses
  • Asset administration: Maintaining asset list; Supporting IT rental
  • Facility administration: Liaison with other facility team; Maintaining web portal; Guest/starter/leaver support
  • Contract administration: Making/supporting service agreements (research agreements); Registering/tracking contracts; Sensitive information administration
  • Financial administration: Monitoring/reporting expenses; Supporting budget allocation; Supporting tax rebate
  • Export control: Checking/monitoring/logging export control of technologies
  • Event organisation: Designing/executing/supporting events such as R&D Forum; Designing/executing/supporting social events
  • Personal assistant: Schedule management of Managers; Delegation of approval
  • Project support: Supporting proposals/reviews/reports; Collecting/checking/logging deliverables
What you bring to the team

We’re looking for a team player who is motivated by delivering great work and the Hitachi vision and willing to take responsibility. The role will be a mixture of remote-hybrid work with 2 days in the Hitachi Office. The office location is 7th floor 1, New Ludgate, 60 Ludgate Hill, London EC4M 7AW.

The ideal candidate will possess the following skills and background:

  • Jobholder must have a thorough understanding of organisational dynamics, coupled with good communication skills and the ability to handle issues of high sensitivity. Continuous improvement of the administration with knowledge and IT skill is highly required.
  • We are seeking a candidate with 2–3 years of experience (preferable) in administrative support, within a dynamic or cross-functional team environment.
  • Strong English language proficiency both written and verbal
  • A proactive and flexible approach to work, with the ability to adapt to changing priorities
  • Proven experience in managing day-to-day administrative tasks as stated under skills.
