Job description

This is an exciting opportunity to join an established talking therapies/IAPT service as an administrative assistant for the Gainsborough Talking Therapies team. We are looking for an organized, flexible, efficient team player to join our busy, supportive service.

The successful applicant will be based at Gainsborough Health Clinic supporting service delivery. Duties include reception cover, book patient’s appointments, input data, other general office tasks. The service will provide regular supervision and training to support this.

You will require excellent communication, organisational and IT skills as well as having an exemplary telephone manner, with the initiative to work on your own at times.

Lincolnshire Talking Therapies is a successful IAPT service that provides a stepped care model for the treatment of people with mild to moderate common mental health problems e.g., anxiety and depression in line with NICE guidelines.

As an Administrator, you will play a crucial role in supporting the smooth operation of our talking therapies service. You'll assist both clinical and non-clinical teams, ensure a welcoming environment for all visitors, and develop essential skills for a future NHS career. To undertake reception and routine administration duties in support of clinical and non-clinical activity, ensuring a professional and efficient reception service is provided for all visitors, including service users, carers, contractors, external and internal stakeholders, along with site colleagues and teams.

Main Duties of the Apprentice Administrator (Mental Health NHS Talking Therapies):
  • Provide administrative support to the talking therapies team, including answering phones and responding to emails.
  • Assist with booking appointments, managing waiting lists, and scheduling assessments.
  • Maintain accurate and confidential patient records in line with NHS policies.
  • Welcome and guide service users, families, and visitors to the service.
  • Support the preparation and distribution of clinical documents, letters, and reports.
  • Help to organise meetings and take minutes when required.
  • Input data and generate routine reports for the team.
  • Work closely with clinical and administrative colleagues to ensure the smooth running of the service.
  • Uphold patient confidentiality and treat all information sensitively.
  • Undertake general office tasks such as photocopying, scanning, and filling
