Overview
This divisional administrative role is based in the PS regional office and supports the delivery of business specific and transactional office based activities across the PS Division.
Responsibilities
- Produce documents and reports using computer based systems.
- Maintain and contribute to the continuous improvement of administrative systems, processes and workflows to meet Divisional requirements.
- Support HR functions including absence management recording, vetting administration, appraisal recording, gift & hospitality register updating, training administration and maintaining up to date divisional organisational charts.
- Provide Health & Safety administrative support.
- Process ICT change requests and manage local information using established Probation systems.
- Handle procurement requests within the I-Proc system.
- Assist with the design, development and maintenance of computerised and manual records and produce core process maps detailing operational Probation processes.
- Process and record documents related to goods and services and administer room bookings, meetings and events.
- Respond to external and internal telephone enquiries, personal callers and hire car booking administration.
- Handle general office administration tasks including printing requests, alert office notifications, and effective documentation production.
- Respond to correspondence and queries, record accurate data from computerised systems and provide management information to strict deadlines.
- Organise and store efficiently paper based information and deal with sensitive and confidential data in accordance with data protection requirements.
- Work closely with Shared Services to ensure appropriate protocols and procedures are followed.
