Overview

Reporting directly to the Assistant Operations Director, the Administration Assistant is part of the Central Administration team. This role will be key in supporting our regional teams, managing daily administrative tasks, and managing records. The Administration Assistant will also be the main point of contact for regional reps and members enquiries, oversee office functions and provide support for regional forums, meetings and committees.

Salary: £25,207.00 plus benefits

Responsibilities
  • Manage the day-to-day administration of the regions including answering phone calls, printing and photocopying, and ordering of stationery and supplies.
  • Organise meetings and events including tracking responses and attendance arrangements, organising food and beverages, taking minutes and any follow up.
  • Manage the regional mailboxes ensuring that emails are directed to the relevant people and responses are sent when necessary.
  • Work in the team to provide administration on an ad-hoc basis as and when required.
  • Organise and manage the storage of merchandise, flyers and promotional materials.
  • Ensure retention processes are followed to maximise membership engagement.
  • Handle petty cash processing and reconciliation.
  • Manage incoming and outgoing post, including posting supplies to reps.
  • Maintain membership records ensuring information is up to date and monitoring branches to ensure that members are allocated to the correct branch.
  • Provide support to the region and finance team with Branch Health Checks.
  • Assist the Assistant Operations Director with any other reasonable request including duties related to organising and training.
  • Compliance with the union’s GDPR & Confidentiality policies and practices.
