About the Job

We are seeking a highly skilled and experienced bilingual Office Administrator to join our team in Madrid. As an Office Administrator, you will be responsible for providing exceptional administrative support to our organization.

Job Description
  • Provide front-line operations support, including handling phone calls, emails, and other correspondence.
  • Coordinate client meetings, schedule appointments, and manage calendars.
  • Manage office supplies, coordinate travel arrangements, and handle visa applications.
  • Translate documents, interpret during meetings, and provide language support as needed.
  • Liaise with vendors, suppliers, and government agencies to ensure smooth operations.
  • Prepare reports, track follow-ups, and maintain accurate records.
Requirements

To succeed in this role, you must possess the following skills and qualifications :

  • Language Skills : Fluent Spanish and English (C1+)
  • Experience : 2-5 years in office administration or a related field
  • Sales Support : Prior experience supporting sales processes or coordinating business development outreach
  • Tools and Software : Proficient in Google Workspace, Excel / Sheets, Calendar, Zoom, and basic CRM systems
  • Organization : Meticulous attention to detail, fast follow-through, and strong writing skills in both languages
  • Presence : Professional, friendly, and reliable demeanor with excellent communication skills
