Organisational Context

WFP invests in private sector fundraising. ShareTheMeal is the flagship app.

Purpose of the Assignment

The Operations Manager reports to the Head of Customer Insights and is expected to:

  • Support donor activities and develop process improvements, deploying automated workflows where applicable.
  • Manage operations including procurement and coordination tasks.
  • Schedule meetings and appointments.
  • Maintain ShareTheMeal operations and procedures.
  • Build relationships with vendors, service providers and landlords, ensuring invoicing and payment on time.
  • Support the HR function, e.g., visa applications, onboarding, induction programmes.
  • Monitor Stripe and Braintree pending charges, refunds, fraud, etc., and coordinate travel requests.
  • Maintain filing systems and internal staff relations.
  • Develop and implement office policies and procedures, ensuring compliance with organisational strategy.
Deliverables at the End of the Contract
  • Implementation and development plan for the above areas, accompanied by quality reporting.
  • Toolkit to capture procedures for record‑keeping, office policies and procedures.
  • Efficient coordination with PSP regarding invoice payment, asset management and supplies.
Qualifications and Experience

Education – Bachelor’s degree.

Work History – 2–3 years of related experience in operations support or project management, or a demonstrable record of leveraging similar skill sets.

Technical Expertise and Soft Skills – Comprehensive knowledge of reporting, Excel and payment processing software (preferably Braintree and Stripe); knowledge of Postman, AWS, Jira and Zendesk is a plus.

Soft Skills – Exceptional attention to detail, critical thinking, problem‑solving, strong time and project management skills, excellent communication, adaptability, people‑orientation, motivation, gender‑balanced inclusive work environment, and comfort with ambiguity and stress.

Languages

Excellent verbal and written English. Knowledge of German is required.
