We are seeking a highly organized and proactive Operations Coordinator to support senior leadership and the wider Operations team in an international private equity firm. This role is ideal for someone coming from an Operations, Executive Assistant or Office Manager background who enjoys diverse responsibilities, operational structure, and improving processes.

Key Responsibilities
  • Review and manage contracts, supplier agreements, and general contract documentation.
  • Set up, maintain, and oversee the supplier list while ensuring effective vendor and supplier relationships.
  • Support the implementation, updating, and improvement of policies, procedures, and processes.
  • Ensure internal and external due diligence standards are met.
  • Drive operational efficiency through tech implementation and process improvements.
  • Ensure legal compliance across operational activities.
  • Support new office setups or office expansion activities where required.
  • Assist with budget coordination across departments.
  • Provide clear updates, structured reporting, and reliable administrative support to senior leadership.
  • Contribute to event coordination and Excel-based operational tasks.
Candidate Profile
  • Experience as an EA, Office Manager or Operations Coordinator in a financial services company or international firm is desirable.
  • 5-10 years' experience ideally in a similar role
  • Comfortable working autonomously while supporting multiple stakeholders.
  • Strong organizational skills with a structured work approach.
  • Good Excel skills and comfort with systems/technology.
  • Positive, loyal, adaptable, and easy to work with — a collaborative personality is ideal.
  • Motivated, reliable, and able to take ownership of tasks.
  • Ausbildung or Abitur are fully sufficient; no degree required.
  • Must be happy working 4 days a week on site.
