Your tasks

We are seeking a proactive and ambitious Management Assistant who will not only ensure seamless office management and executive support but also be trained for a future leadership role within the department. This position offers a unique development opportunity to grow into the role of Department General Manager (GM), supporting long-term succession planning.



Job Responsibilities


  1. Executive & Office Support

    • Coordinate daily administrative operations and office management activities

    • Prepare high-quality documents, reports, and presentations for internal and external meetings

    • Manage diaries, travel arrangements, and meeting schedules for the GM and departmental leadership

    • Ensure documentation and key information are organised and readily available ahead of time



  2. Business Exposure & Development

    • Gradually take on more responsibility by being introduced to operational and strategic aspects of the business

    • Support the GM in data gathering, KPI tracking, business analysis, and project follow-up

    • Participate in departmental meetings and take the lead on delegated initiatives

    • Shadow senior leadership to understand decision-making processes and departmental dynamics



  3. Communication & Stakeholder Engagement

    • Liaise with internal teams and external stakeholders in a professional and confidential manner

    • Take ownership of communication and follow-ups to ensure actions are completed



  4. Growth and Succession

    • Demonstrate initiative and a strong desire for professional development

    • Participate in relevant training and mentoring programmes

    • Develop capabilities aligned with the future role of Department GM, including leadership, decision-making, and business acumen





Your profile

Qualifications & Experience



  • Degree-level education preferred (e.g. Business Administration, Management, or related field), but not essential

  • 1–2 years’ experience in a professional office environment (can include internships or industrial placements)

  • Experience supporting senior leaders, coordinating administrative tasks, or preparing business materials is desirable

  • Exposure to data reporting, KPIs, or basic project tracking is an advantage

  • Proven experience in an administrative, executive assistant, or office coordination role

  • Strong organisational, communication, and interpersonal skills

  • Proactive attitude with a willingness to go the extra mile

  • Solid knowledge of office tools (MS Office, Teams, SharePoint, etc.) and experience with KPI/data dashboards

  • Fluent in English and German

  • Demonstrates confidentiality, reliability, and professionalism at all times



Desirable


  • Valid German driving licence

  • Previous experience supporting a senior leader or department head

  • Exposure to business performance, project tracking, or leadership development
