Role Purpose

To pro‑actively support the Facilities Manager and EMEA Operations Director in the day‑to‑day delivery of all facilities management related functions and, when needed, cover the main switchboard activities and associated services, serving as the first point of contact for suppliers, vendors and office employees.

The Facilities Coordinator based in Munich, Germany will coordinate day‑to‑day client activities for assigned properties, support the Facilities Manager by acting as the on‑site key point of contact for stakeholders and/or clients, and be responsible for service quality, help‑desk task resolution, vendor management and on‑site operations.

What this job involves
  • Co‑ordinating responsibility of local sites within Germany from the Munich base.
  • Ensuring statutory and PPM schedules are adhered to and reported to the Facilities Manager.
  • Taking initiative in daily tasks, adopting a pro‑active attitude, and sharing knowledge with peers.
Client / Stakeholder Management
  • Proactively engage stakeholders to meet on‑site client expectations.
  • Act as on‑site key point of contact for facilities within client premises.
  • Respond to requests and e‑mails promptly.
  • Provide first‑line support to staff.
  • Communicate professionally, tailoring the tone to the audience.
  • Contribute to event planning with wider community teams.
  • Actively seek employee feedback to enhance the office experience.
  • Manage vendors for janitorial, stationary, engineering, catering, consumables and cleaning services.
  • Oversee and report office cleanliness in pantries, break areas, etc.
  • Maintain stationary stock levels within budget.
  • Control consumables (e.g., beverages, toiletry, kitchen supplies) applicable to workplace.
  • Ensure JLL HSSE contractor management processes are followed when vendors attend site.
  • Communicate with vendors and suppliers.
  • Coordinate event set‑up for special events.
Finance Management / Cost Control / Profitability
  • Process invoices promptly and within deadlines as instructed by the JLL Finance team.
  • Ensure JLL financial processes are always followed.
  • Raise Purchase Orders (POs) regularly and review accruals and open POs.
Health & Safety Management
  • Support provision of a safe working environment for JLL team and vendors.
  • Log near‑misses/good catches through the HSSE system for all assigned sites.
  • Ensure a safe and engaging environment for colleagues and clients by identifying risks during regular site inspections, documented as a site inspection audit report.
  • Maintain site logbooks and upload documents to SharePoint.
  • Uphold the contractor management process for all JLL vendors attending site(s).
  • Support audits for JLL and landlord‑managed services.
  • Attend HSE audits.
Site Operations Management
  • Implement building procedures and performance measures, ensuring they are maintained.
  • Coordinate works within buildings, granting access and authorisation from all involved areas.
  • Ensure office maintenance: organisation and proper condition of equipment (AC, lights, electrical, cafeteria, desks, chairs, doors).
  • Log, monitor and update all open issues, requests, reactive tasks, activities and planned tasks in Corrigo for all assigned sites.
  • Meet regularly with Facilities Manager for FM issue updates and feedback, and understand client activities that may influence FM operations.
  • Maintain up‑to‑date chemical listings and ensure only trained staff handle chemicals.
  • Identify and implement at least four innovations that reduce costs or improve customer experience.
  • Manage external space bookings for customer meetings or trainings.
  • Support a consistent hospitality experience for employees and guests.
Ideal Experience
  • Experience in facilities management, building business or related field.
  • Fluency in German and English.
  • Excellent interpersonal skills, able to interact with a wide range of client staff and demands.
  • Knowledge of occupational safety requirements.
  • Strong PC literacy and proven ability to manage daily activities using various systems.
  • Demonstrated experience with continuous improvement initiatives (highly desirable).
  • Knowledge of vendor management for specialised services.
  • Capacity to understand and interpret commercial contracts.
  • Budget management and financial analysis skills.
