Job description
Dream is looking for an Executive Assistant!

Dream is always looking for the best and brightest to join its thriving community. We are currently looking for an Executive Assistant who will be responsible for supporting our Senior Leadership team in Western Canada. The successful candidate will be a confident go-getter who builds respect and trust, is an excellent listener, and will anticipate leaders and team needs. Being flexible and proactive, you have an innate ability to structure our leaders’ workloads and balance your time effectively.

Who are you?

Are you smart, energetic, professional, and friendly? Do you always stay one step ahead, making your way through ambiguity and looking for ways to improve how things are done? Do you enjoy solving puzzles, including working with numbers to solve practical problems? If you’re also detail-oriented, read on. We want to hear from you. You like people and people like working with you, and it shows in the relationships you build inside and outside an organization. During your 3+ years of experience in executive support, you’ve become a pro at getting things done. You’re comfortable working in a corporate environment and you know always to stay professional and maintain a high level of confidentiality. You enjoy managing and organizing, so you’re happy to work not only on professional matters but also to help with personal matters. You have a knack for anticipating needs and adapting to fast-changing circumstances. You use your common sense to make things happen and you consistently deliver top quality results, even in a fast-paced environment. We want to find someone who will work hard and wants to learn, contribute, and have fun. In other words, we want you to fit in here. This is a unique chance for you to take on challenging responsibilities, be a part of exciting new opportunities, and help our team achieve its goals. Are you ready?

What will you do?

Below are some of the primary responsibilities you will be taking on in this role. There will be more, but we can discuss those in person.

  • Coordinate day-to-day administrative requirements of the leadership team by strategically managing their calendar, engagements, meeting schedules, and communications (email, telephone, social media, correspondence, reporting submissions, and expense reports)
  • Support the leadership team with planning, logistics, and scheduling of events, strategic meetings, offsites, and agendas
  • Filter, delegate and respond to email, telephone, and correspondence on behalf of the leadership team
  • Review and ensure completeness and accuracy of documents, including managing the storage and security of confidential files
  • Provide vacation coverage and relief support to the Office Coordinator as required to ensure our reception area and guest experience is maintained
  • Prepare and distribute minutes packages for internal/external meetings as required by the leaders
  • Coordinate signatures from leaders (internal and external) for consultant/contracts and other agreements
  • Process one-off invoices for payment and provide backup support for AP processing for vacation coverage periods
What type of experience do you have?

These are only some of the things we’d like you to bring to the table. We can cover the rest when we meet.

  • You have at least 3 years of experience providing support to senior leadership
  • You’re comfortable booking travel and coordinating and managing a busy schedule
  • You have good judgment, sound common sense and combine high energy with emotional maturity, tact, diplomacy, and the utmost discretion
  • You’re ok with working overtime hours and being on call when it’s needed to meet challenging and changing deadlines
  • Maintain strict confidence as will be supporting the HR function at times
  • You have impressive MS Office skills with Word, Excel, PowerPoint, Outlook, and Adobe
  • You are very comfortable using smartphones, tablets and other technologies
