Summary

The Sales and Catering Coordinator will play a key role in supporting the Sales and Catering team by coordinating and managing all aspects of hotel events, from initial inquiry through execution. This individual will collaborate with clients to plan, organize, and execute exceptional events, while also driving sales through effective communication and relationship building. The ideal candidate will be highly organized, detail-oriented, and possess excellent communication skills.

Responsibilities

This position involves a variety of duties which include but are not limited to :

  • Answer telephone calls and emails, qualify inquiries and direct them to the appropriate sales contacts
  • Capture online leads through various third-party sales lead generation platforms and distribute to the relevant sales contacts
  • Manage communications to and from the sales office efficiently, using clear, concise and professional language
  • Liaise and communicate with operational departments as required
  • Develop and deliver written internal and external communications
  • Work closely with and stand in for Catering Manager as needed
  • Conduct site inspections and support as needed
  • Assist Sales Team with creating proposals, contracts, banquet event orders and other documents as needed
  • Create and distribute daily, weekly and monthly reports
  • Create group resumes and participate in weekly distribution meetings
  • Attend departmental and committee meetings, prepare minutes for distribution and follow up
  • Manage information gathering and filing of pre / post-event reports
  • Manage group room blocks and reservations booked through the Sales department
  • Submit rate load requests and create corporate booking links
  • Handle wedding room blocks and extended stay inquiries
  • Create and revise event floor-plans
  • Ensure the ongoing maintenance of client and event details in multiple systems
  • Recognize opportunities to up-sell the client and sell enhancements to create a better Marriott experience or event
  • Learn and support all internal systems including Subject Matter Expert training for CI / TY system
  • Support and assist in the coordination of sales and marketing activities in preparation for tradeshows and sales trips
  • Assist with general sales office management and organization
  • Develop and maintain positive working relationships with others, respond appropriately to concerns of other departments
  • Professionally represent the hotel in community and industry organizations and events
  • Manage social media platforms, create content, and respond to direct messages as needed
  • Take on projects and assist Director of Sales, Sales Manager and Catering Manager as needed
  • Other duties as assigned by Director of Sales and the General Manager
Qualifications
  • Degree or diploma in Hospitality Management or Business Administration an asset
  • Previous experience in sales and event coordination, or a related role within the hospitality industry
  • Must be able to speak, read, write and understand English. Knowledge of other languages an asset
  • Strong organizational and multitasking skills, with the ability to manage multiple events simultaneously
  • Excellent communication and interpersonal skills, with a client-focused approach
  • Proficiency in Microsoft Office Suite and sales and catering systems
  • Proficiency in Meta Business Suite and LinkedIn an asset
  • High level of professionalism and a positive attitude
  • Detail oriented with a commitment to delivering high-quality service
  • Strong problem-solving skills and the ability to remain calm under pressure
  • Team player with the ability to collaborate effectively with colleagues and clients
