The Safety Analyst supports the daily operations of the organization’s Safety Program and contributes to all agencywide safety initiatives. This role focuses on promoting safe driving practices, coordinating vehicle maintenance compliance, assisting with driver training, and maintaining accurate safety records. The Safety Analyst works closely with operations staff, program directors, and drivers to ensure all fleet safety policies and procedures are followed, vehicles are maintained in accordance with Federal, State, and local regulations, and broader organizational safety goals are supported across all programs.
Primary Responsibilities and Essential Functions of Position
Fleet Safety
- Support the monitoring of vehicle maintenance schedules and ensure timely inspections, repairs, parking permits and documentation.
- Track and report on vehicle usage, incidents, and safety metrics as assigned.
- Conduct periodic reviews of pre-trip and post-trip inspection checklists to ensure compliance.
- Provide assistance in reviewing driver applications, MVRs, and other related records for compliance with safety standards.
Workplace Safety
- Coordinate and schedule driver and employee safety training programs; maintain accurate training documentation and attendance records, including workplace and fleet safety training.
- Assist in implementing and maintaining workplace and fleet safety policies, procedures, and standard operating practices.
- Help coordinate corrective actions or retrain program managers as needed.
- Perform administrative tasks such as taking detailed notes, ordering materials, maintaining, organizing, and creating safety documents, and supporting safety campaigns, initiatives, and presentations.
- Participate in Safety Committee meetings and share relevant updates and best practices.
- Support facilitation and coordination of agency’s Safety Committee.
- Review safety related incident reports and work closely with the Director of Safety to conduct assessments to identify resources, propose solutions, and monitor progress.
- Perform other related duties within the scope of the role as assigned.
Reporting & Compliance
- Assist in accident and incident reporting, follow-up investigations, and maintain related files.
- Maintain accurate data related to fuel card usage, fleet logs, and safety records and dashboards.
- Assist with completing OSHA 300, 300A, & 301 logs.
- Help provide monthly/ quarterly/ year end safety reports to executive leadership.
Qualifications
- Minimum of 2–3 years of experience in fleet operations, safety coordination, or compliance preferred.
- Valid driver’s license and satisfactory driving record required.
- Previous experience working with Samba Safety and Motive platforms is a plus.
- Prior Osha experience preferred.
- Associates degree required.
- Working knowledge of fleet safety practices, vehicle maintenance procedures, and DOT regulations a plus.
- Strong organizational and recordkeeping skills with attention to detail.
- Proficient in Microsoft Office (Excel, Word, Outlook, PowerPoint).
- Excellent communication skills and ability to work collaboratively across departments.
