We handle the entire design and build process, collaborating closely with clients, consultants, and sub-trades to ensure a seamless journey from initial concept to final completion. Momentum Design Build, a division of The Hazelwood Group, is looking for a full-time experienced Project Coordinator to join our team for various projects in the Nanaimo area.
Salary : $80,000

Summary
The Project Coordinator supports Project Managers in planning, executing, and delivering construction projects on time, within budget, and to specified standards. This role involves managing administrative tasks, coordinating with stakeholders, and ensuring resource availability for the project team. Key responsibilities include overseeing project deliverables, maintaining quality control, facilitating clear communication, and providing progress updates to senior management throughout the project lifecycle.
Job Duties
- Track project progress and generate status reports for managers and stakeholders.
- Coordinate resource scheduling to ensure team members have the necessary tools.
- Schedule and facilitate stakeholder meetings, maintaining clear communication.
- Oversee and manage document control; correspondence, submittals, RFIs, subcontract onboarding and documents, meeting minutes.
- Help manage Occupational Health and Safety compliance.
- Assist Pre-Construction with building permit submissions.
- Assist Project Manager with occupancy permits and project closeout including operations and maintenance manuals, final reports, schedules and warranty.
- Train new staff on project systems and processes.
- Support Project Manager with warranty requests.
- Assist management with marketing and process development.
Requirements
- Post-secondary education in a related field with a minimum of 3 years in project coordination. Project management certifications are preferred.
- Proven success in project execution, resource allocation, and use of online project management tools.
- Strong ability to engage with all levels of staff, facilitate meetings, build consensus, and maintain stakeholder relationships.
- Skilled in negotiation, conflict resolution, and decision-making, with the flexibility to manage shifting priorities and deadlines.
- Positive, responsive attitude with a result-driven approach.
