This role is a key part of MCA’s operations team, responsible for driving accuracy, efficiency, and client service in the delivery of the Advance Payments Program and membership fees. The Organization

Manitoba Crop Alliance is a farmer-led non-profit organization representing corn, flax, sunflower, wheat and barley farmers in Manitoba. MCA supports the economic sustainability of its members through research, market development, advocacy, and timely information. The organization administers producer membership fees and the Advance Payments Program (APP) on behalf of Agriculture and Agri-Food Canada, providing financial tools and administrative services that support Manitoba farmers in building strong, resilient operations.

What You’ll Do
Membership Administration
  • Lead monthly and quarterly levy (membership fee) collection: import reports, verify transactions, and ensure timely receipt
  • Lead the online refund process: review refund requests, verify details, and initiate payments
  • Maintain accurate records in the member database
  • Follow up with grain buyers and processors to support compliance and documentation
  • Ensure payment records are current, reconciled, and correctly filed
Advance Payments Program (APP) Support
  • Act as first point of contact for client inquiries about the APP
  • Assist with intake and review of loan applications, including document preparation and calculations
  • Conduct basic credit and lien checks using templates and systems
  • Track and update repayment records, statements, and loan files
  • Support the APP Program Officer with processing and workflow as needed
Administrative Support
  • Manages daily office operations and financial processes to ensure smooth, efficient behind-the-scenes functioning.
  • Lead reception and front desk duties: phone coverage, greeting visitors, managing mail
  • Prepare daily bank deposits and handle basic office processes
  • Provide general administrative support for the team — data entry, filing, formatting, organizing
  • Assist with internal projects or office coordination as needed
What You Bring
  • 3+ years of administrative or customer service experience
  • Experience with front desk or reception duties is a definite asset
  • Strong attention to detail and ability to follow structured procedures
  • Proficiency in Microsoft Excel, with comfort using data templates and tracking tools
  • Friendly and professional communication skills — especially phone/email etiquette
  • Familiarity with numbers, spreadsheets, or financial forms is important
  • A team mindset: able to work independently but also follow direction from program leads
  • Interest in Canadian agriculture is a plus, but not required
  • Valid driver’s license and access to a vehicle
