Medical Office Assistant – Data Reporting & Support

Department: Operations

Reports To: Administration Team Manager & Director, Clinic Operations

Location: Vancouver Clinic

Work Schedule: 7.5 hours per day, 37.5 hours per week.

Overview

Supporting the Vision, Values, Purpose, and Commitment of Olive Fertility Centre: Reporting to the Director, Clinic Operations, the Medical Office Assistant – Data Reporting & Support is pivotal to the organization – this role focuses on maintaining patient centred care while managing physician expectations for an overall positive patient experience.

Administration Support
  • Supports uploading of all new patient referrals into the Care Navigation Platform.
  • Assists 3rd Floor Reception with covering breaks & lunches, end of day.
  • Greets and checks in patients, double checking demographics.
  • Manages waiting room.
  • Directs patients to Accounting and other areas.
  • Supports Shipping and Receiving at 3rd Floor Reception of medications, biopsies, and samples.
  • Secondary switchboard operator, answers and triages incoming calls with a pleasant, accommodating, and professional demeanour.
  • Supports medical records requests and chart transfers promptly.
  • Other duties as assigned.
Document Management Support
  • Supports electronic filing of test results and manual scanning of documents into charts.
  • Supports importing files for referrals.
  • Support for Fax Management.
  • Additional duties as required.
CARTR Reporting Support
  • Supports Patient Care Coordinator with Live Birth Outcoming Reporting, collecting data from pregnancy outcomes, updating eIVF and CARTR/BORN program with outcome data, making notes in eIVF as required.
Qualifications

Education, Training and Experience:

  • Grade 12 graduation.
  • Minimum of two (2) years related experience.
  • Previous Medical Office experience is an asset.
  • Medical Office Certification is preferred.
Skills and Abilities
  • Proficiency with answering multi-line switchboard without losing calls or missing calls.
  • Positive, friendly, and professional demeanour.
  • Exceptional verbal and written communication skills.
  • Demonstrated ability to prioritize & multi-task.
  • Proficient with computers and applicable software applications, including EMRs and MS Office. Willing and able to learn new programs and systems.
  • Strong work ethic.
  • Demonstrated ability to work independently and as a member of a multi-disciplinary team.
  • Able to lift & carry up to 25lbs.
