Investor Relations Associate and Finance Executive Assistant (12-Month Contract)

What you’ll do
- Provide high-level administrative support to the Head of Investor Relations and up to two Senior Vice Presidents / Vice Presidents in Finance.
- Handle high-level administrative tasks with ease, professionalism, and business maturity.
- Demonstrate strong organization skills, attention to detail, accuracy, and the ability to exercise sound judgment.

- Manage multiple tasks and projects simultaneously, take initiative, and anticipate needs.
- Maintain confidentiality on highly sensitive matters.
\- Act as the central point of connection across the broader organization to the IR and Finance team.
- Coordinate complex schedules and travel itineraries.
- Work closely with SVPs to schedule quarterly team town hall meetings and engage in agenda development.
- Handle documents for the Board and Disclosure Committee.
- Assist with vendor selection, contracting, and onboarding.
- Schedule and organize monthly and quarterly performance review meetings, working closely with the CFO office, and annual planning meetings.
- Plan and co‑ordinate events, including quarterly earnings calls and investor roadshows, conferences, store tours, and other investor events.
- Manage quarterly results event / project management, including management of quarterly conference calls and external communications, including the IR website.
- Assist in event / project management for other IR‑focused events (e.g., AGM, investor events).
- Schedule and prepare briefing materials for external finance and investor meetings and conferences, working closely with assistants for other executives.
- Manage the IR mailbox and calendar, including investor meeting tracking.
What you bring
- 5+ years of experience supporting C‑Suite level executives and project work within a fast‑paced corporate and/or professional firm.
- A positive attitude and the ability to cope well under pressure.
- Superior written and verbal communication skills.
- High level of independence and the ability to follow work through to completion.
- Proven ability to manage multiple tasks and projects simultaneously, suggest process improvement, take initiative, exercise sound judgment, and anticipate needs.
- Proven ability to establish valuable relationships within an organization and with key external vendors.
- Experience in updating websites is an asset.
- Previous exposure to investor relations, sell‑side research, asset management, external reporting, or accountancy would be considered an asset.
- Ability to work in Microsoft Excel and PowerPoint, knowledge of Nasdaq IR Insight, Copilot, Diligent, Hyperion, PeopleSoft, and Concur is an asset.
- Note that this role will require a 5:30 am start on key announcement dates (approximately 4‑8 times per year) and requires a willingness to occasionally monitor email off‑hours.
