Job Summary

The Leave Management Specialist administers and coordinates employee leave programs, serving as the primary point of contact for related inquiries and claims. Key responsibilities include managing various types of leave, such as medical, family, and disability, while processing claims and facilitating return-to-work plans. The Specialist also plays an important role in supporting employees through their leave process, helping them transition back to work smoothly. This role involves collaborating with internal teams, employees, and external vendors to ensure that claims are handled efficiently, comply with company policies, and align with federal, provincial, and state regulations.

Main Responsibilities
Claims Management and Benefits
  • Oversee the end-to-end management of leave of absences, including initial intake, documentation, follow-ups, and return to work;
  • Evaluate claims to ensure that they meet eligibility requirements and adhere to company policies;
  • Collaborate with service providers to review and process claims;
  • Monitor the status of claims and ensure the accurate and timely payment of benefits.
Employee Support
  • Serve as the main point of contact for employees on leave, providing guidance on their benefits and answering any questions;
  • Coordinate with managers and employees on return-to-work plans, including accommodations where necessary;
  • Maintain confidential employee records and manage sensitive information in compliance with privacy regulations.
Compliance and Reporting
  • Ensure compliance with all relevant state, provincial, and federal laws related to disability, employment standards, and benefits;
  • Track and report on leave claim metrics, including approval rates, duration of leave, and return-to-work success rates;
  • Provide insights to HR leadership on trends, cost management, and areas for improvement in any leave program (maternity, STD, etc.).
Process Improvement
  • Work closely with the Health & Safety (H&S) Advisor to continuously review and update policies and procedures;
  • Identify and recommend process improvements to streamline the management of claims and reduce administrative burden.
Collaboration
  • Liaise with HR Business Partners, the Payroll team, and Leaders to resolve issues related to leave claims and ensure seamless benefits coordination;
  • Partner with Employee Assistance Program (EAP) and H&S teams to support employees' recovery.
Qualifications
  • Bachelor's degree in Human Resources, Business Administration, or a related field;
  • 3-5 years of experience in benefits administration or disability management, preferably in a Canadian corporate environment;
  • Bilingualism (both written and ) is required for daily communication with suppliers, employees, and stakeholders, both within and outside of Quebec;
  • Strong knowledge of provincial and federal regulations related to disability benefits, employment law, and leave management (e.g., ESA, Human Rights Code, etc.);
  • Empathy and excellent communication skills (both written and verbal);
  • Strong organizational and time management skills, with attention to detail;
  • Experience working with third-party insurers and disability claims systems;
  • Understanding of the return-to-work process and accommodation requirements.
