Overview

Job Title: Finance Assistant. Salary: $58,000 – $70,000. Location: Onsite (4 days/week, work-from-home Fridays; additional summer flexibility). Reports to: COO (with direction from Finance Manager).

About the Role

We are seeking a detail-oriented and motivated Finance Assistant to join our operations team on a full-time basis. This newly created role offers the opportunity to contribute directly to the company’s financial operations while gaining exposure to senior leadership. The position is ideal for someone with a solid finance background who enjoys both hands-on accounting and administrative support.

You will work closely with the COO and Finance Manager to manage core accounting functions, support financial reporting, and help improve processes, including exploring new tools and technology.

Responsibilities
  • Perform accurate data entry and maintain financial records in QuickBooks Online
  • Process Accounts Payable (AP) and Accounts Receivable (AR) transactions
  • Assist with expense management through Expensify
  • Prepare reconciliations, spreadsheets, and financial reports as required
  • Maintain strict confidentiality of financial and company information
  • Create, update and assist with financial presentations
  • Support the COO and Finance Manager with day-to-day tasks and special projects
  • Contribute to process improvements, including exploring the use of AI tools for efficiency
Qualifications
  • Post-secondary education in Accounting, Finance, or Business Administration (or equivalent experience)
  • 1–3 years of experience in a finance or accounting support role
  • Proficiency with QuickBooks Online, all Microsoft applications, specifically Excel
  • Previous experience with AP/AR processing and expense reporting systems (e.g., Expensify)
  • Strong organizational and problem-solving skills with high attention to detail
  • Ability to handle sensitive information with professionalism and discretion
  • Strong English communication skills;
  • Interest in applying AI tools for accounting/finance tasks considered an advantage
